A highly regarded and ambitiously growing, boutique Investment Management Company.

The Role

The Office Manager/Senior PA will play a central role in ensuring the smooth, efficient, and professional operation of the Investment Management firm’s day-to-day activities.

This Office Manager/Senior PA will provide high-level support to senior leaders by overseeing administrative workflows, coordinating office functions, and maintaining a polished, client-ready environment. This role will suit someone with Office Management experience who is proactive, detail-oriented, and comfortable operating in a fast-paced, high-standards financial services setting.

Key Responsibilities

  • Oversee daily office operations to ensure a well-organised, efficient, and professional working environment.
  • Have line management responsibility for the Receptionist, providing oversight, support, and guidance to ensure the smooth running of front-of-house operations. This includes providing reception cover and answering the phones when required, such as lunch breaks and holidays.
  • Maintain office supplies, equipment, and manage supplier relationships.
  • Act as the primary liaison with the building management team, including coordinating requests, reporting issues, overseeing visitor and access arrangements, ensuring compliance with building policies, and communicating relevant updates or changes to the internal team.
  • Act as the office Health & Safety representative and manage office budgets and track operational expenditure. Assist with expense reporting and invoice processing relating to office facilities and operation activities.
  • Provide comprehensive diary management and administrative support to the COO, coordinating internal and external meetings and managing priorities effectively. Log expenses for the COO and reception/ad hoc office expenses.
  • Organise bi-weekly Operating Committee meetings, including preparing agendas, coordinating attendees, and recording minutes and action points. Arrange quarterly, bi-annual, and annual service review meetings with custodians, including agenda preparation and minute taking. Monitor and approve holiday and absence requests for the COO’s direct reports.

The Candidate

  • Strong Office Management / Senior PA organisational skills within a corporate and professional environment - ideally financial services or professional services.
  • Close attention to detail to maintain the highest level of quality.
  • Strong knowledge of MS Office Suite; Excel, Word, and PowerPoint.
  • Team player with experience of working in a team environment, able to identify problems and help.
