About the Office Manager role:
As the Office Manager at Chotto Matte Manchester, you will be the heartbeat of the restaurant’s administrative function. You’ll ensure smooth daily operations by supporting the General Manager and leadership team across key areas including HR, finance, compliance, and internal communications. Acting as the central hub for coordination and administration, your proactive, organised, and solutions-focused approach will be essential in maintaining the efficiency and energy of our fast-paced, dynamic environment.
Key Responsibilities:
Administrative Support
- Serve as the first point of contact for internal administrative queries.
- Oversee the smooth running of the office, ensuring it remains tidy, well-organised, and fully stocked.
- Manage incoming and outgoing communications, including email, post, and internal document handling.
- Maintain and improve digital filing systems across shared drives.
- Draft and format internal documents, reports, meeting agendas, and minutes as needed.
- Assist the leadership team with calendar coordination, external meeting arrangements, and travel bookings.

HR & Onboarding Support
- Coordinate recruitment admin, including interview scheduling, document collection, and onboarding paperwork.
- Keep accurate and up-to-date staff records, including Right to Work documentation, training files, and absence logs, Staff welfare checks & return to work forms.
- Liaise with central HR and payroll teams regarding contracts, new starters, and payroll updates.
- Support the induction and training process for new employees, ensuring smooth integration into the team.
- Workday checks on a Monday to be submitted by 9.30am/ Payroll
Finance & Purchasing Admin
- Support with invoice processing, receipt reconciliation, and reviewing end-of-day cash-up reports.
- Monitor and manage petty cash and office budgets.
- Track supplier invoices and liaise with Accounts Payable when required.
- Place and manage office supply orders in line with budget controls and sustainability principles.
- Review daily cash-out reports to ensure they are accurately completed and free of variance.
- Safe reconciliation -reports to finance each week

Health & Safety / Compliance
- Assist in coordinating health & safety procedures, ensuring key tasks such as fire drills and first aid checks are completed and documented.
- Maintain compliance folders including licences, inspection reports, and safety certifications. (Alert 65 checks/EHO Compliance/Risk assessments)
- Ensure venue logs and documentation are audit-ready and accessible.
Team & Venue Support
- Promote effective communication across FOH, BOH, and central support functions.
- Support with team engagement activities, uniform distribution, and staff welfare processes.
- Be a dependable point of contact for general problem-solving and day-to-day support across departments.
- Consumable orders for site & Linen point of contact.
- Maintenance tracker-liaise with contractors for site.
- Liaise with Cleaners & security- adjust staffing levels for business requirements.
