My client is a highly respected wealth manager and due to growth they are looking for an organised and proactive Office Manager to oversee the smooth day-to-day operation of a well-established wealth management office in Southampton.
The Opportunity
As Office Manager, you will act as the operational hub of the branch, supporting advisers and investment professionals while ensuring excellent client service, regulatory compliance, and efficient office operations. You will also provide leadership and guidance to administrative support staff and contribute to the continued growth and success of the business.
Key Responsibilities
Office Operations & Governance
- Manage the smooth and efficient running of the office.
- Oversee facilities, suppliers, office equipment, stationery, and marketing materials.
- Coordinate health & safety requirements, business continuity planning, fire drills, and risk assessments.
- Maintain operational records, registers, and governance documentation.
- Organise branch meetings and ensure actions are followed through to completion.
- Promote best practice, consistency, and strong operational controls across the office.

Client Administration & Operational Support
- Provide high-quality support to advisers and investment professionals.
- Assist with client onboarding, account opening, and account maintenance processes.
- Ensure AML/KYC documentation is completed accurately and efficiently.
- Prepare client review packs, valuations, and supporting documentation.
- Support regulatory reviews and key client servicing activities.
- Liaise with internal departments to resolve client queries and operational issues.
Team Leadership
- Supervise and support administrative team members.
- Manage workload allocation and maintain service standards.
- Conduct performance reviews and support professional development.
- Deliver coaching and training on systems, processes, and client service.
- Monitor adherence to compliance and regulatory procedures.
Reporting & Performance Management
- Produce monthly operational and performance reports.
- Track key business metrics and service standards.
- Coordinate and manage office projects and regulatory review programmes.
What We're Looking For

Experience
- Previous experience within an Office Manager, Operations Manager, Practice Manager, Team Leader, or Senior Administration role.
- Experience within wealth management, investment management, financial planning, banking, or the wider financial services sector.
- Understanding of client onboarding, investment operations, and regulatory processes would be advantageous.
Skills
- Excellent communication and relationship-building skills.
- Strong organisational and prioritisation abilities.
- Exceptional attention to detail and accuracy.
- Confident working in a regulated environment.
- Natural leadership skills with experience coaching and developing others.
- Proactive, solutions-focused, and able to take initiative.
