The Opportunity

We are looking for an exceptionally organized and polished Office Manager / Team Assistant to oversee the day-to-day running of our Mayfair office. This is a fantastic opportunity to join a fast-paced, entrepreneurial environment and play a pivotal role across the wider business. As a key point of contact for colleagues, visitors, and external suppliers, the role will involve supporting our Executive Assistants and Operations team, managing office facilities and suppliers, and ensuring the office is maintained to a consistently high professional standard.

The successful candidate will have at least two years’ experience in an Office Management or Team Assistant role within a professional environment, with excellent organizational skills and the confidence to build strong relationships across the business. As a growing European business, the role will also provide opportunities to support our Dublin, Paris, and German offices when required.

This is an office-based role working from our London office five days a week.

Key Duties

Office Management

  • Act as the office point person, meeting and greeting clients and visitors and ensuring a professional and welcoming experience.
  • Ensure meeting rooms, communal areas, and client spaces are maintained to a consistently high professional standard.
  • Oversee office supplies, stationery, kitchen facilities, and equipment, arranging repairs and maintenance as required.
  • Organize company lunches, team events, and internal functions.
  • Support employee onboarding and offboarding, including coordinating IT set-up for new starters, arranging system access, and collecting equipment from leavers.
  • Coordinate the office seating plan, ensuring workspace is used effectively and desk allocations are arranged for new joiners, leavers, and team changes.
  • Manage office subscriptions, including Bloomberg and Green Street, ensuring licenses and user access are kept up to date.
  • Maintain Box access permissions, ensuring employees have appropriate access to folders and files relevant to their role.

Supplier & Facilities Management

  • Manage relationships with landlords, building management, and external suppliers.
  • Coordinate office services, including cleaning, maintenance, IT, and other workplace providers.
  • Obtain quotations, monitor supplier performance, and manage contract renewals.
  • Process supplier invoices as required.

Health, Safety & Compliance

  • Act as the office Health & Safety Coordinator, ensuring compliance with relevant legislation and internal policies.
  • Coordinate workplace risk assessments, fire safety arrangements, and routine office inspections.
  • Maintain health and safety records, including accident reporting, fire marshal, and first aider registers.
  • Support business continuity planning and office compliance initiatives.

European Office Support

  • Provide operational support to our Dublin, Paris, and German offices as required.
  • Potentially travel to our European offices as required to support office set-up, supplier meetings, and operational projects.
  • Coordinate with local suppliers and external service providers.

Team Support

  • Assist with diary management, meeting coordination, and travel arrangements as required.
  • Provide cover for the Executive Assistants during periods of annual leave or absence.
  • Assist with the preparation of documents, presentations, and reports as required.

Skills & Experience:

  • 2+ years’ experience as an Office Manager or Team Assistant within a professional or financial services environment.
  • Educated to degree level or equivalent.
  • Highly organized and proactive, with the ability to manage multiple priorities effectively.
  • Excellent communication and stakeholder management skills, with the confidence to work with colleagues at all levels.
  • Strong attention to detail and a hands-on approach to problem-solving.
  • Positive, adaptable, and flexible, with the ability to work independently and as part of a team.
  • Able to work well under pressure, remaining calm and composed in a fast-paced environment.
  • Able to handle confidential information with discretion and professionalism.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • An additional European language, such as French or German, would be an advantage but is not essential.

Salary and Benefits

  • Salary: circa £40k, dependent on experience
