About Us

Shipleys Foodservice is a family-owned foodservice wholesaler supplying fresh produce, dairy, frozen foods, and catering supplies to restaurants, cafés, schools, and hospitality businesses across the South of England.

As our business continues to grow, we're looking for an enthusiastic and organised Office & Operations Coordinator to join our team.

This is an excellent opportunity for someone looking to build a long-term career within a growing business where they can genuinely make a difference.

The Role

This is a varied office-based role where you'll be responsible for ensuring the smooth day-to-day running of our office operation.

You'll take ownership of the customer order process from the moment an order is received through to handing it over to our warehouse team, ensuring everything is completed accurately and on time.

No two days are the same, and you'll play a key role in keeping our operation running efficiently while delivering outstanding customer service.

Key Responsibilities

  • Process customer orders received via Choco, email, WhatsApp, and telephone.
  • Manage the daily customer order lifecycle from receipt through to warehouse handover.
  • Build and maintain strong relationships with customers through excellent day-to-day account management.
  • Answer customer telephone calls and emails professionally.
  • Process customer amendments and resolve day-to-day queries.
  • Produce Preparation Sheets (SOPs) for the warehouse.
  • Produce and maintain product labels.
  • Place the daily dairy order.
  • Produce end-of-day operational reports.
  • Complete daily office administration accurately and efficiently.
  • Maintain organised records and operational documentation.
  • Identify opportunities to improve office processes and procedures.

About You

We're looking for someone who is organised, reliable, and takes pride in getting things right.

The ideal candidate will:

  • Have excellent attention to detail.
  • Be highly organised.
  • Enjoy working in a fast-paced environment.
  • Be confident communicating with customers over the phone and by email.
  • Have good written and verbal communication skills.
  • Be proactive and able to work independently.
  • Take ownership of their work and see tasks through to completion.
  • Be comfortable using computers and learning new systems.
  • Be eager to learn and develop within the business.

Previous experience in administration, customer service, logistics, or foodservice would be advantageous but is not essential. A positive attitude and willingness to learn are more important.

Working Hours

10:30am – 7:30pm

Working days:

  • Monday
  • Wednesday
  • Thursday
  • Friday
  • Sunday

Rest days:

  • Tuesday
  • Saturday

40 hours per week, including a one-hour unpaid lunch break.

Salary & Benefits

£28,000–£32,000 DOE

  • 28 days' annual leave (including bank holidays).
