Reports To: Managing Director / Operations Director

Salary: £36,000–£42,000 per annum (dependent on experience)

As our business continues to grow, we are looking for an experienced Office & Operations Manager to lead our business support function and play a key role in ensuring the smooth running of our operations.

This is a varied, fast-paced role where no two days are the same. You will oversee the office, support operational delivery, coordinate payroll administration, maintain quality systems, and ensure our clients continue to receive an exceptional service.

The Role

As the Office & Operations Manager, you will oversee the day-to-day running of the office while providing operational support across the business. Working closely with the Managing Director, Operations Team, Finance Department and Contract Managers, you will ensure efficient business processes, excellent customer service, and compliance with company procedures.

You will become the central point of coordination between our office, operational teams, employees and clients.

Key Responsibilities

Office & Business Management

  • Manage the day-to-day running of the office.
  • Develop and improve office procedures and administrative systems.
  • Maintain company records and confidential documentation.
  • Coordinate office supplies, equipment and facilities.
  • Provide administrative support to the Directors and senior management team.
  • Ensure the office operates efficiently and professionally.

Operations Support

  • Support the Operations Manager and Contract Managers with daily administration.
  • Assist with workforce planning, scheduling and resource allocation.
  • Coordinate recruitment administration, onboarding and employee documentation.
  • Maintain employee training records and compliance documentation.
  • Liaise with cleaning operatives regarding attendance, holidays, sickness and operational matters.
  • Produce operational reports and business KPIs.

Payroll & Workforce Administration

  • Collect, verify and process employee timesheets.
  • Prepare payroll information accurately and within agreed deadlines.
  • Resolve discrepancies relating to overtime, holidays, sickness and attendance.
  • Maintain accurate employee records.
  • Liaise with payroll providers to ensure employees are paid correctly and on time.

Finance Support

  • Process purchase orders, invoices and supplier documentation.
  • Support customer invoicing and credit control.
  • Assist with budgeting and cost control.
  • Reconcile operational paperwork with financial records.
  • Produce management information and financial reports.

Customer Service & Client Support

  • Act as the main office contact for customers, suppliers and employees.
  • Manage customer enquiries professionally and efficiently.
  • Investigate and resolve customer complaints.
  • Monitor trends and implement corrective actions.
  • Support the administration of customer contracts, service level agreements and renewal dates.
  • Build strong relationships with clients to promote customer satisfaction and retention.

Quality, Compliance & Health & Safety

  • Maintain the company's ISO Management Systems, including ISO 9001.
  • Coordinate internal and external audits.
  • Keep policies, procedures and quality documentation up to date.
  • Monitor corrective and preventative actions arising from audits and customer feedback.
  • Support Health & Safety compliance across the business.
  • Ensure compliance with GDPR, employment legislation and company policies.
  • Promote a culture of continuous improvement.

Reporting & Business Improvement

  • Produce management reports and operational KPIs.
  • Identify opportunities to improve systems, processes and efficiencies.
  • Support business improvement projects.
  • Maintain the highest levels of confidentiality and professionalism.

About You

We're looking for someone who is organised, proactive and enjoys working in a fast-paced environment where they can make a real difference.

Essential

  • Previous experience in an Office Manager, Business Support Manager or Operations Support role.
  • Excellent organisational and administrative skills.
  • Experience preparing payroll and managing employee timesheets.
  • Experience supporting finance administration.
  • Excellent communication and customer service skills.
  • Strong IT skills, including Microsoft Office (Word, Excel and Outlook).
  • Excellent attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • A positive, solutions-focused approach.

Desirable

  • Experience within commercial cleaning, facilities management or another service-based industry.
  • Knowledge of ISO 9001 Quality Management Systems.
  • Experience coordinating audits and compliance.
  • Knowledge of employment law and HR administration.
  • Experience using payroll and workforce management software.
  • Internal ISO Auditor qualification.
