Main Purposes:

To provide efficient post distribution, archiving, reprographics, meeting rooms and Office Services support within a busy City Legal Firm.

Office Support:

  • Opening and distribution of Royal Mail and Internal Mail within a targeted timescale
  • Distribution of Newspapers, magazines and periodicals
  • Photocopying, Scanning, Binding
  • Preparing and presentation of documents and bundles
  • Co-ordination, storage & administration of archiving and retrieval
  • Willingness to do overtime, evening and some weekends
  • Stationery – maintaining stock levels, distribution and ordering
  • Booking and logging couriers
  • Outdoor clerking duties such as; Byhands, taking post to the Royal Mail
  • Setting up of meeting rooms
  • Adhoc simple maintenance tasks (building desks, chairs)
  • Confident to undertake first line IT duties
  • Other ad hoc duties as may be required from time to time
  • Refreshing various stocks and supplies
  • Franking of Mail

Requirements:

  • Good communication skills, with an excellent telephone manner
  • Works well within a team
  • A flexible, pro-active and co-operative approach to work, particularly in relation to availability and cover
  • Able to speak clear and fluent English
  • Strong interpersonal skills and a polished professional presence when interacting with clients and stakeholders
  • Experience of working in a busy professional services firm, ideally a law firm
  • Excellent prioritisation skills
  • High attention to detail
  • Good IT skills
  • Capable of lifting and carrying heavy boxes
