Ecotile Flooring Ltd designs and manufactures high-performance modular flooring solutions for industrial and commercial environments. Its British-made interlocking tiles are used in thousands of warehouses, factories, workshops, and commercial spaces worldwide, including facilities operated by leading organizations such as GKN Aerospace, Jaguar Land Rover, and the Ministry of Defence. Ecotile products are engineered to install quickly over most hard subfloors, helping customers resolve common flooring issues, improve safety, and enhance appearance with minimal disruption. The company provides durable, cost-effective alternatives to resin, floor paint, and vinyl, including specialised ESD flooring for static-sensitive environments. Ecotile Flooring Ltd is ISO9001 and ISO14001 certified, reflecting its commitment to quality and environmental management.

Role Description:

The Office Supervisor is a full-time, on-site role based in Luton, responsible for overseeing day-to-day office operations and supporting efficient business administration. The role includes coordinating administrative tasks, managing office supplies and facilities, and maintaining accurate records and documentation. This position also involves supervising and supporting office staff, helping to prioritise workloads, and ensuring that customer enquiries and internal requests are handled promptly and professionally. The successful candidate will work closely with management to streamline processes, uphold company standards, and contribute to a safe, well-organised, and productive office environment.

Core Responsibilities:

Hands-on Team Leadership & Support

  • Provide supportive leadership and daily coordination for a highly experienced, long-standing administrative team.
  • Lead by example, working alongside staff to manage daily administrative workloads and cover for team members during absences.
  • Facilitate open communication, ensuring team insights are valued while gently guiding the group through operational updates or process improvements.

Daily Office Operations & Administration

  • Oversee and actively participate in daily office workflows, digital filing, data entry, and record-keeping.
  • Handle incoming correspondence, and distribute accordingly
  • Communicate directly with end user customers, suppliers and distributors
  • Oversee and manage any non-conformance issues from customers and suppliers
  • Manage sensitive or confidential company and employee information with extreme discretion.

Management & Compliance

  • Relay updates, policy changes, and company news from upper management to the team in a collaborative manner.
  • Ensure the office strictly complies with health, safety, and workplace regulations.

Skills & Qualifications

  • Collaborative Leadership: Proven ability to guide and respect an experienced team without micro-managing.
  • Hands-on Work Ethic: A strong willingness to dive into administrative and clerical tasks on a daily basis.
  • Communication: Exceptional verbal and written communication, with the emotional intelligence to build strong, positive relationships across an established team.
  • Organisation: Masterful multitasking, time management, and practical problem-solving capabilities.
  • Tech Savviness: High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Knowledge of Sage200 and Hubspot would be advantageous, but training will be given if required.

Education & Experience Requirements

  • 3–5 years of experience in a hands-on administrative, clerical, or office support role.
  • Previous experience in a supervisory or team-leading position is preferred, particularly working with established or close-knit teams.
