What this role offers

We are looking for an Office & Accounts Assistant to provide day-to-day support to our lawyers based in Thame, alongside administrative and transactional assistance to our Finance team.

This is a varied and hands-on role, suited to someone who enjoys being at the heart of a busy office and taking pride in helping colleagues deliver an excellent service to our clients.

The role is predominantly based in our Thame office, four to five days a week. Being readily available to colleagues is an important part of the role, so this is not intended to be a hybrid working position. The successful candidate should therefore live within a reasonable commuting distance of Thame and be comfortable working primarily from the office.

There will also be occasional attendance at our Gerrards Cross office for staff meetings, training and other business requirements.

Key responsibilities include:

Office and legal support

  • Acting as a professional and welcoming first point of contact for clients, visitors and callers
  • Answering and directing telephone calls and greeting visitors
  • Booking meetings and meeting rooms and organising refreshments
  • Maintaining office supplies and helping to ensure the office remains organised and presentable
  • Managing incoming and outgoing post
  • Scanning, copying and assisting with document production
  • Providing general administrative support to lawyers and colleagues
  • Responding proactively to the day-to-day needs of the Thame team

Accounts support

  • Monitoring the Accounts team email inbox and dealing with or directing queries appropriately
  • Inputting and arranging payment of disbursement invoices and allocating them to the relevant matters
  • Taking card payments from clients by telephone or issuing secure payment links
  • Completing office account bank reconciliations
  • Checking the online banking system for incoming CHAPS payments and processing them accordingly
  • Inputting payments onto the online banking system
  • Assisting with WIP write-offs and matter closures
  • Providing general administrative support to the Finance team

The role may also involve other reasonable duties from time to time, depending on the needs of the team and the business.

Who we are looking for

We are looking for someone who is friendly, confident and proactive, with a genuine willingness to support others and contribute to the smooth running of the office.

Previous experience in an accounts, finance or administrative role would be advantageous, although attitude, reliability and willingness to learn will be equally important.

The successful candidate will:

  • Have excellent interpersonal and communication skills
  • Be organised and able to prioritise a varied workload
  • Be comfortable working both independently and as part of a team
  • Be able to work accurately and calmly during busy periods
  • Have good IT, data input and typing skills
  • Demonstrate strong attention to detail

  • Be enthusiastic, adaptable and quick to learn
  • Enjoy working in an office-based environment and being readily available to support colleagues

Candidates should live within a reasonable commuting distance of our Thame office and be willing to attend the office four to five days per week.
