OH Operational Support Administrator - Full Time - Permanent

We have an exciting opportunity as a OH Operational Support Administrator to join our team.

About us:

MCL Medics is a reputable company established in 1999. Experts in the provision of Occupational Health Services, MCL Medics specialise in providing services tailored to each individual business’ exact requirements.

Role Overview:

The Operational Support Administrator will support the clinical team and provide administration for the department. The primary responsibility will be to manage the day-to-day appointment requests from our clients, liaising with contacts and confirming bookings with clinics across the UK. To manage and coordinate all aspects of the medical/OH appointments, relevant email correspondence and associated paperwork. All patient records and reports must be kept up-to-date and accurate and it is crucial that the booking coordinator provides an excellent standard of customer service.

Key Responsibilities:

  • Receive and manage all client medical bookings/Occupational health appointment requests.
  • Upload all details to MCL medics online OH system (bespoke in-house system).
  • Maintain and improve network medical providers list.
  • Relating costs to be updated and presented at the end of each month for invoicing.
  • Working to and recording key performance indicators for reporting.
  • Scan, email and/or post certificates and other internal correspondence to client companies as appropriate after patients' appointment.
  • Ensuring the smooth operation of clinics.
  • Engaging with clients.
  • Handling telephone calls, website enquiries and emails.
  • Creation and management of digital files, maintaining accurate clinical data in Occupational Health systems.
  • Abide by and ensure Data Protection and confidentiality at all times.
  • Any other duties deemed necessary to fulfil the role.

  • Ability to work as a team player and switch priorities as situations develop.
  • Personable demeanour and willingness to build relationships internally and externally.
  • Excellent communication and stakeholder coordination skills.

Qualifications and Experience:

  • GCSE level or equivalent qualifications in English and Maths.
  • Proficiency in using standard IT applications, including Word, Excel, and Outlook.
