Onboarding Administrator Opportunity
Sewell Wallis are excited to be working with a fantastic professional services business in York, North Yorkshire, who are looking for an Onboarding Administrator to join their Compliance team. This is a great opportunity for someone who enjoys working in a busy environment, has excellent attention to detail and takes pride in delivering a really positive client experience.
Overview
You'll be the first point of contact for new clients, helping to make sure their onboarding journey is as smooth and straightforward as possible. You'll work closely with fee earners, support teams and colleagues across multiple offices, coordinating everything from initial documentation and compliance checks through to file closure.
Responsibilities
- Acting as the main point of contact for new clients throughout the onboarding process.
- Opening client files and creating accurate matter contacts and entity links within the case management system.
- Coordinating the distribution, tracking and receipt of terms of business and other important client documentation.
- Carrying out identity verification and Anti-Money Laundering (AML) checks, including relevant searches on clients and connected parties.
- Maintaining accurate records of onboarding activity and compliance checks.
- Working closely with the Compliance team to escalate and resolve any issues or discrepancies.
- Liaising with fee earners, support staff and administrative teams across the firm's offices to ensure onboarding tasks are completed efficiently.
- Supporting clients with forms and documentation, answering queries and providing a friendly, professional service throughout.
- Managing multiple onboarding cases at once, prioritising your workload and ensuring deadlines are met.
- Ensuring sensitive and confidential client information is handled securely and in line with relevant regulations.
- Coordinating file closures, making sure all documentation and compliance requirements are complete before files are archived.
- Supporting improvements to onboarding processes and helping to make the client journey as efficient as possible.

Requirements
- Previous experience within a legal, compliance or professional services environment.
- Experience using case management or document management systems would be advantageous.
- Strong IT skills, including Microsoft Office.
- Excellent written and verbal communication skills.
- A professional and empathetic approach when dealing with clients and colleagues.
- Strong attention to detail and accurate data entry skills.
- Excellent organisation and time management skills.
- The ability to prioritise and manage your workload effectively.
- A proactive approach and willingness to get involved and support colleagues when needed.
- A minimum of 2 GCSEs at grade 4 or above (or equivalent), including English and Maths.
