Onboarding Coordinator- Digital & IT Apprenticeships & Training
Remote
£25,000 - £30,000 per annum
Full Time | Permanent
25 days+ bank holidays
About the Role
We are working with a growing and highly respected training provider specialising in Digital and IT Apprenticeships, alongside a range of professional and commercial short courses.
Due to continued growth, they are looking to appoint an experienced Onboarding Administrator / Onboarding Coordinator to manage the learner onboarding journey from employer sign-up through to learner enrolment and day one delivery.
This is a fast-paced, high-volume administration role where accuracy, compliance, and customer service are essential. You will be responsible for ensuring all apprenticeship paperwork, evidence, and eligibility checks are completed efficiently, providing a seamless experience for both employers and learners.
Key Responsibilities
- Managing the full apprenticeship onboarding process from employer approval through to learner enrolment.
- Processing apprenticeship applications, enrolment documentation, and compliance paperwork.
- Conducting eligibility and funding checks in line with funding requirements.
- Chasing employers, learners, and stakeholders for outstanding documentation and evidence.
- Ensuring all learner records are accurate and fully compliant before programme start.
- Updating and maintaining CRM and learner management systems.
- Working closely with Sales, Account Management, and Delivery teams to ensure smooth starts.
- Monitoring onboarding pipelines and prioritising workloads to meet monthly start targets.
- Providing excellent customer service to employers and learners throughout the onboarding process.
- Supporting audits and compliance activities through accurate record management.

About You
We are looking for someone who understands the pressures and pace of apprenticeship onboarding and can confidently manage multiple learner starts simultaneously.
You will ideally have:
- Previous experience within an Apprenticeship Onboarding, Enrolment, or Compliance role.
- Strong understanding of apprenticeship eligibility checks, evidence requirements, and funding compliance.
- Experience managing learner paperwork from employer sign-up through to programme commencement.
- Excellent administrative and organisational skills.
- Strong attention to detail and compliance focus.
- Experience using learner management systems, CRM systems, or apprenticeship platforms.
- Confidence communicating with employers, learners, and internal stakeholders.
- The ability to work independently in a fully remote environment.

Highly Desirable
- Experience within a Digital or IT Apprenticeship provider.
- Experience supporting high-volume apprenticeship starts.
- Knowledge of ESFA funding rules and apprenticeship compliance requirements.
