Onboarding Operations Specialist
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Onboarding Operations Specialist based in the United Kingdom.
As an Onboarding Operations Specialist, you’ll play a key role in delivering a smooth and compliant onboarding experience for employees joining organizations around the world.
You’ll manage the onboarding journey from documentation and verification through completion, ensuring accuracy, efficiency, and a high level of service.
Working within a globally distributed EOR Operations team, you’ll collaborate closely with Mobility, Benefits, Lifecycle, Payroll, and other cross-functional teams.
You’ll handle sensitive employee information while maintaining strong standards for data accuracy, confidentiality, and compliance.
The role combines operational ownership, problem-solving, stakeholder collaboration, and continuous process improvement.
You’ll also identify opportunities to streamline workflows and introduce automation that makes onboarding more scalable and efficient.

Accountabilities
- Manage the end-to-end onboarding journey for new employees, ensuring all required documentation, verification steps, employment packages, and operational requirements are completed accurately and on time.
- Take ownership of onboarding cases from initiation through completion, proactively resolving issues and responding effectively to employee questions throughout the process.
- Work closely with Mobility, Benefits, Lifecycle, Payroll, and other relevant teams to coordinate onboarding activities and deliver a seamless experience for clients and their employees.
- Review, prepare, and manage employment contracts and other legally binding documentation while maintaining high standards of accuracy and compliance.
- Maintain employee data with a strong focus on accuracy, security, confidentiality, and adherence to applicable data-handling requirements.
- Support operational reporting, audits, data integrity initiatives, and other compliance-related activities that contribute to reliable and efficient onboarding operations.
- Monitor onboarding workflows and identify recurring challenges, bottlenecks, and opportunities for process improvement.
- Champion automation opportunities that reduce manual work, improve consistency, and increase the scalability and efficiency of onboarding processes.
- Maintain and improve knowledge and content resources to ensure teams have access to accurate, organized, and up-to-date operational information.
- Contribute to a culture of continuous improvement by sharing insights, proposing solutions, and helping implement changes across onboarding operations.

Requirements:
- Strong professional experience in operations, ideally within people operations, HR operations, employment services, legal contracting, or a related field.
- Solid understanding of employment contracts and other legally binding documents, particularly in an HR or people-management context.
- Experience working in fast-paced, cross-functional environments, preferably within startups, scale-ups, or other high-growth organizations.
- Strong attention to detail and the ability to manage sensitive information accurately, consistently, and confidentially.
- Excellent written and spoken English at a business level, with strong communication skills and the ability to present information clearly and professionally to diverse audiences.
- Strong organizational skills and the ability to manage multiple priorities while maintaining ownership of individual cases and operational responsibilities.
- Ability to work independently while collaborating effectively with international and distributed teams, proactively seeking support when needed.
- Comfortable working asynchronously and adapting to flexible working hours when required to support global operations.
- Strong technical adaptability and confidence using digital collaboration, documentation, communication, and project-management tools.
- Familiarity with platforms such as Notion, Slack, Zendesk, Google Workspace, or comparable tools is an advantage.
- Experience organizing, maintaining, and updating knowledge bases, operational documentation, or other content resources.
- A proactive, collaborative mindset with a strong sense of accountability and a willingness to continuously improve processes.
- Additional language skills are considered a plus.

- Annual salary range of $28,200–$63,450 USD, with actual compensation determined by factors including location, transferable or job-related skills, experience, relevant training, business needs, and market conditions.
