Onboarding Operations Specialist
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Onboarding Operations Specialist based in the United Kingdom.
As an Onboarding Operations Specialist, you will play a key role in delivering a smooth, compliant onboarding experience for employees joining international organizations. You will manage onboarding processes end-to-end, ensuring employment documentation and employee data are accurate, secure, and completed on time. Working across a globally distributed and asynchronous environment, you will collaborate with teams spanning mobility, benefits, payroll, and employee lifecycle operations. Your attention to detail and operational judgment will directly contribute to a seamless experience for clients and their new employees worldwide. You will also identify opportunities to improve processes, strengthen operational efficiency, and scale onboarding through automation. This is an ideal role for someone who enjoys solving operational challenges, working independently, and continuously improving how things are done. Accountabilities
- Manage the end-to-end onboarding journey for new employees, ensuring employment documentation, verification, and onboarding packages are completed accurately and in compliance with applicable requirements.
- Take ownership of operational onboarding activities from initiation through completion, proactively resolving issues and responding effectively to employee questions throughout the process.
- Coordinate closely with cross-functional teams, including Mobility, Benefits, Lifecycle, and Payroll, to ensure a consistent and seamless onboarding experience.
- Maintain accurate and up-to-date employee information, ensuring data is handled securely and in accordance with confidentiality and compliance standards.
- Identify opportunities to improve onboarding workflows, anticipate evolving operational needs, and implement practical process enhancements.
- Support operational compliance initiatives, including reporting, audits, data integrity projects, and other activities that contribute to operational excellence.
- Identify opportunities to introduce automation and AI-enabled solutions that reduce manual work, improve efficiency, and enable onboarding processes to scale effectively.
- Organize and maintain knowledge resources, documentation, and operational content to ensure information remains accurate, accessible, and useful to internal teams.
- Balance multiple priorities in a fast-moving international environment while maintaining a high standard of accuracy, service, and operational ownership.

Requirements
- Significant experience in an operations-focused role, with a strong understanding of people operations, employment processes, and legal contracting.
- Demonstrated experience working with employment contracts and other legally binding HR or people-management documentation.
- Experience in a fast-paced, cross-functional environment, ideally within a startup, scale-up, or other high-growth organization.
- Strong attention to detail and a structured approach to managing sensitive information, documentation, and multiple operational priorities.
- Excellent written and spoken English at a professional business level, with the ability to communicate clearly and accurately with diverse stakeholders; additional languages are a plus.
- Strong ability to work independently while remaining collaborative, proactive, and comfortable asking for support when needed.
- Comfortable working asynchronously with international teams and adapting working hours when necessary to support global operations.
- Strong technical adaptability and confidence learning new systems, tools, and workflows in a technology-driven environment.
- Familiarity with collaboration, documentation, customer support, and project management tools such as Notion, Slack, Zendesk, Google Workspace, or comparable platforms.
- Experience organizing, maintaining, and updating knowledge bases and content resources to improve accessibility, accuracy, and team efficiency.
- A proactive, improvement-oriented mindset with an interest in automation, AI, and using technology to make operational processes more efficient.
