Synergize Consulting is an established professional services and resource solutions business supporting leading organisations across the UK public sector, defence, national security, technology, and engineering markets.
We provide specialist resource augmentation and outcome-based services, with particular expertise in mobilising and managing security-cleared professionals working on sensitive, business-critical programmes.
We are now looking for an organised and proactive Onboarding, Security Vetting & PMO Coordinator to join our team in Crawley. 2 days per week onsite.
The role
This is a varied position combining responsibility for candidate and contractor onboarding, security vetting coordination, and PMO support.
You will help ensure that new starters are mobilised efficiently, all screening and security requirements are completed correctly, and our client programmes are supported by accurate reporting, governance, and administration.
The role would suit someone with experience in security vetting, compliance, onboarding, or project coordination who enjoys taking ownership, working with different stakeholders, and keeping complex processes moving.
Key responsibilities
Onboarding and mobilisation
- Coordinate the end-to-end onboarding of contractors, associates, and permanent employees.
- Collect and validate right-to-work documentation, identification, employment history, references, qualifications, and other required information.
- Act as a central point of contact for new starters, providing clear guidance and regular progress updates.
- Coordinate contracts, client documentation, inductions, system access, and equipment requirements.
- Work closely with recruitment, account management, payroll, client delivery, and external vetting teams.
- Maintain onboarding trackers and proactively resolve delays or missing information.
- Deliver a professional and supportive onboarding experience from offer acceptance through to deployment.

Security vetting and compliance
- Initiate, coordinate, and monitor BPSS checks and UK national security vetting applications required.
- Liaise with candidates, client security teams, and other relevant stakeholders.
- Monitor clearance expiry dates, outstanding actions, and changes in personal circumstances.
- Maintain complete, accurate, and audit-ready vetting and compliance records.
- Handle personal and security-sensitive information with discretion and in accordance with UK GDPR and company policies.
- Support internal and client compliance reviews and audits.
- Help maintain and improve vetting procedures, guidance, and process documentation.
PMO and programme support
- Maintain mobilisation plans, delivery trackers, action logs, and RAID logs.
- Track key milestones, dependencies, risks, and outstanding actions.
- Produce regular management information and client status reports.
- Coordinate meetings, prepare agendas, take minutes, and follow up agreed actions.
- Support resource planning, timesheet reporting, and other programme controls.
- Ensure project and programme information is accurate, current, and clearly presented.
- Identify potential delays or risks and escalate them promptly.
- Support continuous improvement across onboarding, vetting, and programme administration.
What we are looking for
- Previous experience in security vetting, onboarding, compliance, PMO, or project coordination.
- Practical knowledge of BPSS screening and UK national security vetting processes.
- Experience supporting SC or DV clearance applications would be particularly valuable.
- Strong administration, planning, and organisational skills.
- Experience maintaining project plans, trackers, actions, risks, and management reports.
- Excellent attention to detail and the ability to manage several cases and priorities simultaneously.
- Confident communication skills and the ability to work effectively with candidates, employees, clients, and senior stakeholders.
- Strong Microsoft Office skills, particularly Excel, Word, PowerPoint, and Outlook.
- A high level of discretion when working with confidential and sensitive personal information.
- A proactive, service-focused approach and the confidence to follow up outstanding actions.

Experience within defence, national security, central government, aerospace, professional services, or recruitment would be advantageous.
Knowledge of CRM systems, SharePoint, project management tools, or security vetting portals would also be beneficial. A PMO or project management qualification such as PRINCE2 Foundation, APM, or an equivalent qualification would be desirable but is not essential.
Security requirements
The successful candidate will be required to complete BPSS screening. Depending on the systems and client information involved, they may also need to be eligible to obtain UK Security Check clearance.
