Job Opportunity: Oncology Service Administrator

Are you great with people, very organised, and passionate about patient care? Our Oncology Service is looking for a motivated, friendly, and confident individual with experience of working within a very busy and fast-paced patient-facing environment to come and join our team.

About the Role

We are currently looking to recruit an enthusiastic person to join our Oncology GTD Administration team to provide efficient administrative support to the GTD Service, ensuring the smooth coordination of patient screening, preparation, and dispatch of testing kits, and general administration. The post holder will be expected to organise and prioritise their own workload and to work closely with clinical colleagues to ensure the continuity of service for our patients at all times.

Key Responsibilities

  • Patient Screening and Communication
    • Conduct screening telephone calls with patients in accordance with service protocols.
    • Provide patients with clear information regarding testing processes, appointments, and kit requirements.
    • Escalate any clinical concerns or queries to the appropriate healthcare professional.
    • Maintain a professional and compassionate approach when communicating with patients.
    • Accurately document outcomes of patient calls and update relevant databases and patient records.

  • Kit Preparation and Dispatch

    • Prepare patient testing kits for distribution, ensuring all required documentation and materials are included.
    • Arrange timely dispatch of kits to patients.
    • Monitor stock levels of kits and associated materials and report shortages.
    • Maintain accurate records of kits sent, received, and processed.
    • Liaise with courier services and internal departments as required.
  • Administrative Support

    • Print, prepare, and distribute clinical reports and associated documentation.
    • Input and maintain patient information on relevant electronic systems and databases.
    • File, scan, and manage documentation in line with information governance requirements.
    • Support appointment administration.
    • Respond to telephone and email enquiries in a timely and professional manner.
    • Assist with data collection, audits, and service reporting as required.
