The Opportunity

Executes day-to-day inventory & material management tasks at customer facilities, following a varied set of procedures. Tasks include the management and processing (storage, handling, inventory control and distribution) of critical materials used in laboratory and production environments, such as consumables, chemicals, solvents, and reagents. Problems and issues are typically less concrete and frequently changing, like unexpected shortages of critical consumables due to supplier delays, differences between recorded inventory levels and actual stock, requiring an investigation into miscounts, misplaced items, or data entry errors, or expired chemicals or reagents that were not properly rotated, leading to waste and requiring adjustments to storage protocols. Problems and issues are solved by applying experience from comparable situations in the past and/or selecting solutions within known alternatives.

Communicates inventory related information, activity records, service level metrics, and other information requiring explanation or interpretation to team members, supervisors, or customers.

To perform operational tasks in order to deliver service excellence. This will include, but is not limited to, the following tasks:

  • Receive, accept, locate, and store samples including security assessments, and complete all relevant documentation to meet Dangerous Goods regulations (IATA, ADR, IMDG) and DfT requirements.
  • Dispatch goods ensuring all relevant documentation is correct and meets IATA, ADR, IMDG, GMP, GLP, and SHE standards.
  • Continued focus on improving Dangerous Goods compliance.
  • Responsible for individual day-to-day performance delivery in line with contractual agreements and Service Level Agreements.
  • Responsible for coordination and execution of the daily operational work.
  • Awareness and understanding of regulations required for delivery of the services required.
  • Recommends ways to improve flexibility and productivity for own and others work plan, ensuring sharing of best practice.
  • Reconcile, complete, log, and file complex documentation meeting all legal requirements within the service.
  • Will participate and contribute to specific functional or cross-functional activities e.g. evaluation and development of new processes.
  • Resolve or escalate complex queries from the customer in particular relating to internal and external delivery.
  • Has strong technical competence and credibility in a specific area and thereby gives assured technical input or advice.
  • Participate in the preparation for regulatory inspections as needed. Escort regulatory inspectors on audits/tours of the dispatch facility and provide documents and explanation concerning the processes and facility.
  • Responsible to proactively level the weekly schedule by resolving differences between capacity and resource availability for short to mid-term requirements.
  • Assist the training of new staff.
  • Ensure that materials with special handling, storage, or distribution requirements (such as hazardous shipments and temperature sensitive material) are properly monitored.
  • Ensuring compliance of activities performed in adherence with defined schedules and quality with a specified area. Act and report on deviations.
  • Perform and document all the operational work, incl. labelling and distribution according to written procedures and GMP/GLP with manual and/or automated systems.
  • Ensure that all necessary documents and authorisations are available in time for every shipment e.g. CoAs, & import license.
  • Ensure appropriate levels of internal inventory of products and components/consumables.
  • Ensure that incoming materials are of suitable quality and quantity, received to inventory correctly, and available for use on the date required.
  • Ongoing monitoring of facilities as required.
  • Liaise with Government bodies/customers/regulated agents/suppliers/manufacturers/planning office to resolve complex queries about the delivery and collection of research samples.
  • Act as a contact for key customers, actively engaging with them on a regular basis to understand their business requirements.
