Job Purpose
The Operational Admin will sit at the heart of the Building Consultancy business, supporting the cost centre lead and the wider finance team. The primary focus of this role is managing revenue for reporting and billing, acting as the key interface between fee earners and the UK finance team.
Responsibilities
Responsibilities will include:
- Reconcile revenue actuals and the Revenue and Forecast (R&F) tracker for the designated Building Consultancy cost centre, keeping fee forecasts accurate and up to date
- Run through forecasts with the cost centre lead and fee earners at the start of each month to prepare for invoicing; manage fee reports linked to the R&F.
- Monitor incoming transactions to ensure forecasts are correctly reconciled
- Before raising any invoice, ensure the following are in place: correct entity and billing details, correct VAT details, Purchase Order number, and evidence of fee agreement to support documentation
- Draft invoices promptly, targeting completion by week 2 of each month, using D365
- Monitor the fee report daily during the last week of each month to reconcile the R&F and confirm IDAs and fee shares have landed
- Compile, check, and submit Inter-Departmental Allocation (IDA) forms to other regions and London teams
- Create and maintain projects in D365, including extending end dates and amending fee unit or managing office allocations
- Work with fee earners to identify accrual requirements and confirm revenue recognition information is in place
- Manage recoverable and non-recoverable disbursements in coordination with London Finance, focusing on reducing recoverable disbursements in Q3 and Q4
- Attend weekly meetings with the wider UK Finance team and provide regular updates

Key Requirements
- Previous experience within a finance or billing role
- Strong Excel skills; comfortable managing shared trackers and forecast models
- Excellent attention to detail and ability to manage several projects simultaneously
- Excellent organisational skills
- Strong communication skills, with the ability to work effectively across teams and regions
- Proactive nature - getting ahead of tasks rather than waiting on instruction
- Team mentality
