Main duties of the job

The Outpatient Administration Centre (OAC) has an exciting opportunity for an Operational Coordinator to join our team. This role offers an excellent opportunity for an experienced administrator or aspiring leader to play a key role in supporting service improvement and operational change across our outpatient services.

We are seeking highly motivated, compassionate, and inclusive individuals to join our developing Trust-wide outpatient service. You will be instrumental in implementing innovative processes, driving digital transformation, and supporting the delivery of efficient, high-quality administrative services in a fast-paced environment. Our focus is on delivering an outstanding patient experience through a patient-centred approach.

Working closely with Operational Managers and the Outpatient Business Manager, you will help shape and deliver new ways of working that align with the Trust's strategic objectives. You will lead and support teams within the Outpatient Administration Centre, fostering a culture of continuous improvement and excellence. This role provides the opportunity to use your initiative, creativity, and problem-solving skills to help develop and deliver the best possible outpatient service for our patients and staff.

Key Responsibilities Include

Detailed job description and main responsibilities

  • Leading the rollout and adoption of Confluence, establishing a comprehensive and accessible knowledge management system.
  • Supporting recruitment and onboarding activities to help build and maintain a high-performing workforce.
  • Delivering engaging training programmes, workshops, and team development events to support staff growth and performance.
  • Providing leadership and guidance to Training and Administration teams, fostering a positive and collaborative working environment.
  • Acting as deputy to Operational Managers when required, maintaining service continuity and supporting operational decision-making.
  • Driving continuous improvement and supporting the implementation of new ways of working across the Outpatient Administration Centre.

Qualifications, Knowledge And Experience

Essential criteria

  • Educated to degree level or possessing an equivalent level of experience, training, and knowledge
  • Competent in use of IT systems. Good level of keyboard skills including relevant software packages (Microsoft Office: Word, Excel, Outlook)
  • Previous NHS administration experience. Excellent working knowledge of eCamis system and relevant Trust and NHS procedures
  • Ability to analyse and interpret performance report information
  • Organisational knowledge of admin procedures and working processes
  • Experience in a supervisory role
  • Ability to work under own initiative
  • Proven ability to work to deadlines, prioritise and multitask
  • Able to manage fluctuating demands on the post in calm and logical manner

Desirable criteria

  • Courses/further study attended to demonstrate evidence of personal development
  • Experience of dealing with non-routine and complex problems, progress chasing, resources and staff allocation
  • Awareness of health service policy in relation to Trust access targets.
  • Patient Administration System (for example eCamis, LUNA, CHARTS) trained.
  • Service Improvement training
  • Knowledge of medical terminology
  • International Computer Driving Licence (ICDL)
