DESCRIPTION & REQUIREMENTS
On behalf of ONS, we are looking for an Operational Support x 2 (Inside IR35) for a 4 month contract based 2 days per week in Titchfield.
The Office for National Statistics (ONS) is the UK’s largest producer of official statistics, covering a range of key economic, social and demographic topics. These include measuring changes in the value of the UK economy, estimating the size, geographic distribution and characteristics of the population, and providing indicators of price inflation, employment, earnings, crime and migration.
The role:
The Operational Support role provides day-to-day operational, administrative and management support to teams and operational services. The role is responsible for coordinating activities, producing management information, maintaining effective processes and supporting the effective delivery and continuous improvement of operational services.
Depending on grade, the role may also involve monitoring operational performance, managing risks and issues, supporting business continuity, overseeing systems and processes, and leading teams to deliver high-quality services.
As an Operational Support your main responsibilities will be:
- Provide day-to-day operational and administrative support to team leads and wider teams.
- Coordinate meetings, agendas, schedules, minutes and actions, ensuring actions are followed up and monitored.
- Gather, collate and produce management information (MI) to support operational decision-making and performance management.
- Review and cross-check data and information to ensure accuracy, integrity and completeness.
- Maintain operational documentation, guidance and standard operating procedures, ensuring information remains accurate and up to date.
- Manage shared mailboxes and associated SharePoint sites, including user access where required.
- Support the implementation and transition to new systems, processes and ways of working.
- Build and maintain effective working relationships with colleagues and stakeholders across teams and forums.
- Support the development and ongoing maintenance of operational continuity plans and business rhythm documentation.
- Record, monitor and escalate operational risks, issues and performance concerns.
- Monitor KPIs, service standards and SLAs and provide regular reporting on performance.
- Develop and manage issue escalation processes, tracking issues through to resolution with operational teams.
- Work collaboratively with teams to support system and data changes.
- Identify opportunities for continuous improvement across processes, systems and operational services.
- Develop and maintain subject matter expertise in relevant ONS systems and processes.
- At HEO/SEO level, provide operational leadership and support teams to deliver against performance targets and service standards.
- At SEO level, lead the development and improvement of MI, systems and processes and make timely operational decisions while managing associated risks.

Essential:
- Experience in an operational support, business support, administration or operational delivery environment.
- Strong organisational skills, with the ability to manage multiple priorities and deadlines.
- Experience gathering, analysing, maintaining or reporting operational data and management information.
- Ability to check information accurately, identify data gaps or issues and support effective resolution.
- Experience maintaining processes, procedures, records, guidance or operational documentation.
- Strong communication and interpersonal skills, with the ability to build effective working relationships across teams.
- Ability to identify problems and contribute to practical solutions and continuous improvement.
- Ability to work effectively at pace and respond flexibly to changing priorities.
- Ability to handle information accurately, securely and confidentially.
- Good digital and systems skills, with the ability to learn and use operational systems effectively.
Desirable:
- Experience working within the public sector, government or a similarly complex or regulated organisation.
- Experience using SharePoint and managing shared mailboxes or online collaboration tools.
- Experience producing regular MI, dashboards, KPIs or performance reports.
- Experience supporting business continuity or operational continuity planning.
- Experience managing operational risks, issues and escalations.
- Experience supporting the implementation or transition to new systems or processes.
- Experience monitoring SLAs, service standards or operational performance.
- Experience providing team leadership, coordinating workloads or supporting colleagues to achieve performance targets.
