Operations & Stock Control Administrator

We are seeking a highly organised and detail-oriented Operations & Stock Control Administrator to join our team. This is a varied role combining customer order processing, stock control, administration, reporting, and customer service responsibilities.

The successful candidate will play a key role in ensuring customer orders are processed accurately, inventory records remain up to date, and operational data is maintained to a high standard. This position would suit an experienced administrator with strong Excel skills and a proactive approach to problem-solving.

Key Responsibilities

Customer Orders & Administration

  • Process customer orders accurately and efficiently.
  • Enter and maintain customer and order information within company systems.
  • Prepare and distribute order confirmations and supporting documentation.
  • Liaise with customers regarding orders, deliveries, and general enquiries.
  • Provide administrative support to the Operations Director and wider team.
  • Maintain organised and accurate records and filing systems.

Stock Control & Inventory Management

  • Review and approve stock transactions.
  • Monitor stock movements and investigate discrepancies.
  • Perform regular cycle counts and stock reconciliations.
  • Assist with annual stock takes.
  • Ensure inventory records remain accurate and up to date.
  • Work closely with warehouse and production teams to maintain stock accuracy.
  • Support continuous improvement initiatives within stock control processes.

Reporting & Data Management

  • Maintain operational spreadsheets and databases.
  • Produce stock and operational reports using Microsoft Excel.
  • Monitor key performance indicators and data accuracy.
  • Analyse operational information and provide support for management reporting.
  • Ensure records are maintained in line with company procedures.

Customer Service & Communication

  • Deliver professional and responsive support to customers and colleagues.
  • Build and maintain positive relationships with customers and suppliers.
  • Communicate effectively with warehouse, production, sales, and management teams.

Essential Skills & Experience

  • Previous administration experience within an office environment.
  • Excellent organisational and time management skills.
  • Exceptional attention to detail.
  • Strong Microsoft Office skills, particularly Excel and Outlook.
  • Good numerical and data entry skills.
  • Ability to prioritise workload and manage multiple tasks effectively.
  • Strong verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Proactive approach to problem-solving.

Desirable Skills & Experience

  • Experience within stock control, inventory administration, logistics, warehouse, manufacturing, or distribution environments.
  • Experience carrying out stock reconciliations and cycle counts.
  • Experience producing reports and analysing operational data.
  • Familiarity with ERP or stock management systems.
