Lucas Kennedy is an official Workday Services Partner. We deliver specialist Staffing and Consulting services to clients across the UK and Europe. Our Consulting team leads on Workday advisory, deployment, optimisation and managed services. Our Staffing team connects clients with the Workday talent that makes those projects work.

We've just moved into brand new, state of the art offices on Fenchurch Street, right in the heart of the City of London. The Role

Forget the quiet back office. As our Operations Administrator, you'll sit right at the centre of how Lucas Kennedy runs. One morning you're turning around contractor compliance documents against the clock. That afternoon you're pulling together the consultant utilisation numbers our leadership team needs before a client call. No two days look the same, and that's exactly the point.

You'll own the processes, information and reporting that keep candidate placements and consulting engagements running smoothly. You'll have real visibility of how the business performs, and your work will directly shape the decisions leadership makes. If you like variety, pace and knowing your work actually counts, this is your role.

Key Responsibilities

Staffing Support

  • Support the Staffing team through the full candidate and contractor lifecycle, from registration and compliance through to placement, contracts, onboarding and assignment extensions.
  • Keep candidate and client records sharp, with the CRM fully updated with activity, documentation and assignment information.
  • Coordinate contractor documentation, including contracts, references, right to work evidence, background checks and insurance.
  • Monitor shared recruitment and contracts inboxes, responding to routine queries and escalating anything that needs a closer look.

Consulting Support

  • Support the Consulting team with the day to day administration and coordination of client engagements, projects and managed services.
  • Build and maintain live consultant utilisation trackers, monitoring billable hours, bench time and engagement allocation across the whole consulting bench.
  • Produce regular utilisation, timesheet compliance and margin reports for the leadership team, turning raw resourcing data into clear, actionable insight.
  • Chase outstanding timesheets and close data gaps fast, so the numbers leadership works from are always accurate and current.
  • Spot utilisation trends early, whether that's under utilisation, over commitment or a looming resourcing gap, and raise them with Consulting leadership in good time.
  • Support forecasting of consultant availability against pipeline demand, helping leadership plan resourcing ahead of client need rather than reacting to it.
  • Maintain resource schedules, project records and engagement documentation, and help drive continuous improvement of Consulting operational processes.
  • Coordinate consultant onboarding and offboarding, including access requests, compliance documents, client requirements and internal handovers.

People & Culture

  • Assist HR with onboarding new employees, consultants and contractors, including offer letters, contracts, background checks and induction coordination.
  • Keep staff records accurate and support the administration of appraisals, probation reviews, training and development activity.
  • Organise team events, birthdays and internal communications that keep the culture strong as we grow.
  • Provide occasional IT and facilities support.

Office Operations

  • Keep our new Fenchurch Street office clean, stocked and safe.
  • Liaise with external service providers, including cleaners and suppliers.
  • Order and manage office supplies and refreshments.

Administrative Support

  • Manage incoming calls, emails and office enquiries, and monitor shared inboxes so nothing slips through the cracks.
  • Prepare and format business documents, reports, presentations, proposals and statements of work for client facing use.
  • Support contract and document preparation, and keep electronic filing systems clear, accurate and easy to navigate.
  • Complete background checks and maintain accurate compliance trackers across Staffing and Consulting activity.

What We're Looking For

  • 3+ experience in a professional services, banking, insurance or legal environment is essential. You know how these businesses move, and you understand confidentiality, client sensitivity and deadline pressure without needing it explained.
  • Proven experience in business administration, operations, recruitment support or professional services support.
  • Comfortable with data and numbers, confident building and maintaining trackers, dashboards and reports leadership can rely on.
  • Strong organisation, time management and multitasking, with the composure to juggle competing priorities without losing accuracy.
  • Someone who thrives on pace and gets a buzz from a fast moving, high volume environment.
  • High attention to detail with excellent written and verbal communication skills.
  • Proficient in Microsoft Office, especially Excel.
  • A proactive, professional attitude and the confidence to work independently and take ownership.
  • Genuine interest in building a career in business operations, staffing, consulting or professional services.
