In January 2025, we joined forces with Hometree, further expanding our reach and impact in the renewable energy sector.
The Role
We are seeking a highly organised, resilient, and proactive Operations Administrative Assistant to work closely with our Operations team and Project Managers. This is a hands-on, fast-paced role supporting a very busy schedule!
From managing a high volume of customer contact and preparing project documentation to ensuring our installation teams and Project Managers have the daily support they need, this role is critical to our success. This position suits someone who thrives on structure, enjoys customer interaction, and takes pride in being a dependable point of support in a bustling office environment.
Responsibilities
- Operations & Project Support: Provide direct administrative support to the Operations Manager, Deputy Operations Manager, and our Project Managers to ensure seamless heat pump and solar installs.
- Customer Communication: Act as a primary point of contact for a high volume of customer interactions. You will answer telephone calls, manage expectations, confirm details for our 30 weekly new installs, and field inquiries from our 4,000+ existing customers.
- Documentation Preparation: Prepare and issue critical job-related documentation quickly and accurately (e.g., installation packs, assumption/exclusion sheets, handover forms).
- Project Tracking: Track progress for multiple concurrent projects and meticulously update records in our CRM Software (Job Logic & Monday.com).
- Diary & Scheduling: Assist with schedule management, coordinating daily priorities for project managers and active installation teams.
- Reporting: Collate information for weekly operations meetings and internal reporting.
- Staff & Logistics Coordination: Help coordinate staff training, vehicle servicing schedules, and stock collection planning where needed.
- Digital Filing: Manage and organise digital filing, ensuring all active and historical job folders are complete and compliant.

What We’re Looking For
- Relevant Experience: Previous experience supporting operations teams, project managers, or working in a busy, high-volume administrative or customer-facing role.
- Customer-First Approach: Confident communicator with a polite and professional telephone manner, capable of handling high volumes of customer contact effectively.
- Work Under Pressure: Highly comfortable working in a fast-paced environment and prioritising multiple tasks to support 30+ installs a week.
- Organisational Skills: Excellent time-management skills with strong attention to detail and accuracy.
- Technical Proficiency: Proficient with Microsoft Office and general computer systems (training provided for Joblogic and Monday.com).
- Proactive Attitude: A self-starter willing to take ownership of tasks and actively support the wider operations team.
