The Role:

At Legends Global, exceptional events start behind the scenes. As Operations Administrator, you’ll be at the heart of AO Arena’s event operation, providing vital support that helps world-class concerts, sporting events, and live entertainment run seamlessly. From improving processes and managing key operational information to supporting event planning and logistics, you’ll play an integral role in keeping a fast-paced team organised, efficient, and ready to deliver unforgettable experiences for every guest who walks through our doors.

Please Note: This position is 16 hours per week, with a core working day of Tuesday. The other hours can be flexible within the working week, and we will discuss this with you at interview.

Key Responsibilities:

  • Provide comprehensive administrative support across the event lifecycle, coordinating communications, preparing documentation, and supporting event planning activities.
  • Manage operational records and reporting, ensuring event files, schedules, staffing allocations, and venue data are accurate, up to date, and effectively maintained.
  • Support business operations and compliance, collating attendance, incident, and health & safety information, escalating issues where appropriate, and maintaining key policies and procedures.
  • Coordinate departmental resources and logistics, including equipment orders, office supplies, uniforms, PPE, payroll administration, and meeting arrangements.
  • Build strong relationships with internal teams, contractors, and stakeholders, providing proactive support that helps deliver safe, efficient, and successful events.

  • Proven administrative experience within a busy, fast-paced environment, with the ability to keep processes organised and running smoothly.
  • Strong organisational and time management skills, able to prioritise competing demands, meet deadlines, and work both independently and as part of a close-knit team.
  • Excellent communication and stakeholder management skills, with confidence in building positive relationships across colleagues, contractors, suppliers, and visitors.
  • Experience coordinating meetings and managing information, including preparing documentation, facilitating discussions, and producing accurate meeting notes.
  • Advanced Microsoft Office skills and a proactive mindset, with the ability to improve administrative processes, multitask effectively, and take initiative under pressure.
