About the role

Making Heroes Ltd, the owner and operator of the beloved British nursery brand Tutti Bambini, is looking for an Ops Administrator – Order Controller to support the day-to-day running of our Milton Keynes warehouse.

Reporting to the Operations Manager, you'll be the administrative engine room of the site. You'll control the flow of orders from release through to despatch, keep the WMS accurate, book carrier collections and produce the daily reporting the operation runs on.

This role suits someone highly organised who enjoys being close to the action — chasing detail, spotting problems before they become service failures and keeping the paperwork spotless in a fast-moving warehouse.

Responsibilities

Order Control

  • Manage the daily order book — releasing, prioritising and tracking orders through to despatch, and flagging anything at risk of missing the cut-off.
  • Ensure all orders received before the daily cut-off are progressed for same-day despatch, escalating exceptions to the Operations Manager on the day.
  • Manage the SRNs assigned to the warehouse, ensuring spares received before the daily cut-off are processed and despatched the same day.
  • Book carrier and haulier collections, produce despatch documentation and labelling, and manage delivery booking portals and delivery windows for key accounts.
  • Track consignments through to delivery, chasing proof of delivery and raising claims or investigations for failures and damages.

Systems & Data

  • Keep the WMS (OrderWise) accurate and up to date, ensuring transactions are completed correctly and in a timely manner.
  • Support the booking in of goods received, ensuring paperwork matches system records and discrepancies are raised the same day.
  • Support cycle counts and stock checks with the WMS Champion & Inventory Controller, and help investigate variances.
  • Maintain accurate records and a clear audit trail for all operational documentation.

Reporting & Administration

  • Produce daily, weekly and monthly reports on volumes, service performance, exceptions and outstanding work as requested.
  • Ensure returns paperwork is logged back in and passed to the office by the end of the same day.
  • Maintain rota, holiday, agency and hours records on behalf of the Operations Manager.
  • Raise purchase requisitions and manage consumables, packaging and stationery stock levels for the site.
  • Provide general administrative support to the Operations Manager and Supervisors, including meeting notes, trackers and filing.

Communication & Customer Support

  • Act as the day-to-day administrative link between the warehouse, customer service, supply chain and commercial teams.
  • Respond promptly and professionally to order, stock and delivery queries, providing clear and accurate information.
  • Escalate service risks early so that action can be taken before the customer is impacted.

Health & Safety

  • Work in line with all site health and safety procedures at all times.
  • Report incidents, near misses and hazards immediately.
  • Maintain a clean, tidy and safe working area.

About you

  • Proven administrative or order processing experience, ideally within a warehouse, logistics or supply chain environment.
  • Highly organised with excellent attention to detail and the ability to manage a busy workload to deadlines.
  • Confident user of a WMS or ERP system (experience with OrderWise is a plus) and strong Excel skills.
  • Comfortable with carrier systems and customer delivery booking portals, or able to pick them up quickly.
  • Numerate and literate, with clear written and verbal communication skills.
  • Able to work at pace, prioritise effectively and stay calm under pressure.
  • Proactive and self-motivated, comfortable chasing information and following issues through to resolution.
  • Familiarity with G Suite and/or Office 365 is a benefit.

Location

This is an ONSITE role: The successful candidate will work from the Warehouse ( 2 Arnold Pl, Bletcham Wy., Bletchley, Milton Keynes MK1 1FD, United Kingdom) Monday to Friday, Working hours are 8:00 AM – 5:00 PM.
