We’re looking for an organised and proactive Operations Administrator to join our team and play a key role in keeping our day-to-day operations running smoothly.

This is a varied role where you’ll work across Operations, Projects, Engineering, and Sales, supporting resource planning, project coordination, administration, and third-party supplier management.

What you’ll be doing

  • Coordinating engineer availability, resource allocation, and project schedules.
  • Managing daily HubSpot and Kantata queues, ensuring actions are completed on time.
  • Maintaining accurate operational records, spreadsheets, and systems.
  • Supporting Project Managers and Coordinators with project administration, documentation, and timelines.
  • Monitoring timesheets, expenses, and payroll-related information.
  • Liaising with internal teams, customers, and third-party suppliers.
  • Maintaining our approved supplier and subcontractor database.
  • Supporting supplier onboarding and monitoring supplier performance.
  • Helping identify process improvements and cost-saving opportunities.
  • Providing general operational support to the Resource Manager and wider team.

What we’re looking for

You’ll be highly organised, confident managing multiple priorities, and comfortable working in a fast-paced operational environment.

We’re looking for:

  • Previous administration, coordination, or operational experience.
  • Strong attention to detail and excellent organisational skills.
  • Good knowledge of Microsoft Office, particularly Excel.
  • Strong communication skills and confidence working with different stakeholders.
  • A proactive, positive attitude and willingness to go the extra mile.
  • The ability to stay calm under pressure and keep things moving.
  • Experience with resource scheduling, project administration, engineering/field-based teams, CRM, or project management systems would be advantageous.
