Operations and Supply Chain Coordinator

We are looking for an Operations and Supply Chain Coordinator to support a successful and rapidly growing business with trusted brands.

Overall Purpose of the Role

To support the Supply Chain group with managing Global inventory levels, accuracy, transfers, and end of life decisions pertaining to the various prominent brands of inventory across the business. To assist sales and customers to ensure the proper routing and disposition of returned stock, as well as ensuring all receipts and transfers are completed in order for Distribution Centers to maintain accurate inventory levels and complete order processing and invoice closure.

Key Responsibilities

  • Responsible for inventory control monitoring, balancing, and reporting on a continual basis.
  • Assist finance team with Year End Inventory Audit requirements including location inventory reporting.
  • Monitor and control NetSuite system inventory transactions.
  • Place stock movements in transit.
  • Ensure Warehouse Receipts & adjustments in NetSuite for accuracy and completion.
  • Analysis & Reconciliations:
    • Perform thorough research and document inventory discrepancies using all available resources to identify root causes and supply possible solutions.
    • Monitor and escalate system and warehouse stock reconciliations weekly or as needed to reconcile physical and systematic inventory imbalances.
    • Reconcile consignment inventory on a weekly - monthly basis and explain key variances.
    • Administer and minimize stock losses; ensuring all adjustments are recorded with accurate root cause assigned within operations team.
  • Reviewing orders with Planning team and Inventory to ensure orders are passed to manufacturing partners or consumed from current Inventory.
    • Work closely with China Planning team to proactively understand any potential shipping, stock imbalances – where applicable, communicate and work to mitigate any issues.
  • Monitor Inventory mailbox and answer all inquiries as directed by management.
  • Administer ROW Transfers and Fulfilments to NS.
  • Review Consignment Stock reports against NS inventory.
  • Raise inter company stock transfers.
  • ROW Support:
    • CPFR calls to ROW.
    • Make Stock adjustments in NS for ROW locations Resellers/retailers.
    • Responsible forecasting for ROW Return management.
  • Responsible for the creation of new customers, ensuring accuracy and completeness. Communicate routing guides and shipping requirements to internal teams and 3PL partners to ensure compliance with customer logistics specifications.
  • Lead Weekly Sales & Operations Meetings:
    • Be the lead for all queries from planning, inventory, and ROW sales.
    • Responsible for organizing and leading the weekly Sales and Operations (S&OP) status meetings. Drive alignment between cross-functional teams, ensure key updates are communicated, issues are escalated, and actionable solutions are identified and followed through.
    • Operational Ownership for ROW - Serve as the primary liaison between the ROW Sales team and Supply Chain - Own end-to-end sales operational processes specific to ROW.
    • Work closely with planning teams to understand expected customer ordering through S&OP meetings. Work with Supply Chain, DC Ops, Sales, Finance to effectively implement process improvements to operational procedures in an effort to proactively optimize overall location and item level accuracy and maintain the highest possible productivity levels.
  • 3PL Support:
    • Assist the Director of Operations in reviewing 3PL invoices by validating all associated charges against reported activity. Ensure accuracy, resolve discrepancies, and confirm approval for payment processing.
    • 3PL – Syncreon UK/NL – Inventory Management. All related. System issues i.e ASN issues, investigation, and solutions.
    • Responsible for coordinating and executing new item setup within all 3PL systems, ensuring accurate product details, configurations, and requirements are correctly implemented to support inbound and outbound operations.
  • Complete weekly stock reconciliations between 3PL WMS and NetSuite across all designated 3PLs investigating discrepancies and working to iteratively reduce occurrences of missing transactions between the systems.
  • Assist the 3PLs with document issues e.g. Failed ASNs.
