About the role:
The Operations Assistant provides administrative and coordination support across four key functional areas: fleet management, premises management, health & safety and compliance. The role helps the Operations and Compliance team keep routine records, documentation and information organised, accurate and up to date.
Working closely with, and under the guidance of, the Operations and Compliance team, you will assist with maintaining records, tracking actions, documenting routine compliance activity and highlighting matters that may need review by the appropriate owner. This role requires good attention to detail, strong organisational skills and the ability to support routine administrative tasks across different areas of the business.
You will support internal and external processes, assist with compliance administration, help with the introduction of agreed new processes and support the maintenance of current processes by keeping information updated and following established procedures. You will also help identify practical opportunities to improve efficiency and support cost-conscious working across each discipline, escalating suggestions to the appropriate owner for review.
Key Responsibilities
Fleet Management:
- Support the maintenance of fleet records and documentation
- Assist with fleet insurance policies, renewals and claims administration
- Assist with fuel card administration and support routine usage monitoring
- Help keep vehicle tracking information up to date and support the review of telematics data where required
- Track vehicle maintenance schedules and servicing records
- Assist with vehicle MOT coordination and records management
- Support vehicle procurement and disposal processes
- Assist with identifying opportunities to improve administrative efficiency and support cost-conscious fleet processes

Premises Management:
- Support the maintenance of premises records and building documentation
- Track premises-related insurance and renewals
- Support facilities management and maintenance scheduling
- Liaise with external contractors and service providers as directed
- File and maintain safety certificates (e.g. electrical, gas safety)
- Support lease and tenancy record management
- Help identify practical ways to support efficient premises administration and cost-conscious working
Health & Safety:
- Help maintain and organise health & safety records and documentation
- Provide administrative support for risk assessment records
- Assist with accident and incident reporting records and support investigation tracking where required
- Help maintain health & safety training records and certifications
- Support policy and procedure maintenance and distribution
- Liaise with the health & safety officer on routine compliance administration as directed
- Support the review of health & safety administration to help identify practical efficiencies while maintaining appropriate standards

GDPR & Compliance:
- Provide administrative support to the Data Protection Officer (DPO) on compliance activities
- Support privacy notice and policy updates
- Support audit follow-ups and track closure of findings
- Help identify opportunities to streamline routine compliance administration and support cost-effective ways of working
