Operations Assistant
We’re seeking a highly organised and proactive Operations Assistant to join our Belfast team. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys supporting multiple business functions. We're looking for a professional, proactive individual with strong administrative experience, exceptional attention to detail, and the ability to manage priorities effectively. In this role, you'll provide essential support to the General Manager and wider site teams by coordinating day-to-day activities, maintaining accurate records, supporting key projects, and contributing to the efficient running of the Belfast site.

Job Purpose
Reporting to the Belfast General Manager, the Operations Assistant will provide confidential, professional and proactive administrative support across Operations, Human Resources, Quality and Health & Safety. This role plays a key part in ensuring the smooth running of the Belfast site by coordinating meetings, communications, records, reports and business-critical activities while supporting compliance, efficiency and operational excellence.
Key Responsibilities
- Provide high-quality administrative and executive support to the General Manager and wider leadership team.
- Coordinate meetings, diaries, customer visits and site events.
- Prepare, format and maintain reports, presentations, correspondence and business documentation.
- Manage records, filing systems, trackers and confidential information in line with company requirements.
- Act as a professional point of contact for employees, visitors, customers and suppliers.
- Support operational projects, action tracking and key business deadlines.
- Provide administrative support across Operations, HR, Quality and Health & Safety functions.
- Assist with recruitment administration, employee communications, training records and inductions.
- Support document control, audit administration, quality records and corrective action tracking.
- Maintain health and safety documentation, training matrices, meeting records and inspection logs.
- Ensure office systems, databases and shared records remain accurate, organised and up to date.

Knowledge, Skills & Experience
- Previous experience in an administrative, Personal Assistant, Executive Assistant or Office Administrator role.
- Excellent organisational, communication and time management skills.
- Strong attention to detail and ability to manage confidential information.
- Proficient in Microsoft Office, including Outlook, Word, Excel and PowerPoint.
- Ability to prioritise workloads, work independently and meet deadlines.
- Experience of supporting Quality or Health & Safety systems would be advantageous.
