About the Role

We are a growing mechanical installation and construction company looking for an experienced, organised, and proactive Operations Assistant to join our team in Gravesend.

This is an important support role working directly with the Operations Manager, while also providing project administration support to the Project Manager across live projects.

The successful person will help keep operational records, project information, purchasing, timesheets, documentation, and internal systems accurate, organised, and up to date.

We are looking for someone who is dependable, highly organised, and comfortable taking ownership of their responsibilities.

Key Responsibilities

The role will include:

  • Carrying out daily payment reconciliation
  • Updating job and project spreadsheets
  • Recording and updating operatives’ working hours
  • Checking and reconciling timesheets
  • Maintaining accurate records relating to labour and project activity
  • Obtaining price comparisons for site equipment, materials, and supplies
  • Ordering equipment, materials, and supplies for live projects
  • Liaising with suppliers where required
  • Keeping internal spreadsheets, trackers, and records accurate and up to date
  • Supporting the Operations Manager with day-to-day operational and administrative requests
  • Supporting the Project Manager with project administration across live projects
  • Assisting with the preparation, filing, tracking, and updating of project documentation and records
  • Updating project trackers, action lists, and other project information as required
  • Taking minutes during weekly project meetings
  • Recording actions arising from meetings and assisting with following these up
  • Preparing and updating documents using company branding
  • Maintaining organised electronic and physical filing systems
  • Managing and updating the company’s LinkedIn profiles and company information
  • Assisting with general business communications and company updates
  • Supporting the Operations Manager with other reasonable duties as the business develops

About You

We are looking for someone with previous administrative or operational support experience who is confident working in a busy environment.

You will be organised, accurate, and able to manage several different responsibilities at the same time.

You should also be comfortable working independently once tasks and processes have been explained.

The ideal person will be someone who takes pride in keeping information organised, follows tasks through to completion, and is confident asking questions when something does not appear correct.

Essential Skills & Experience

You should have:

  • Previous experience in an administrative, operational support, or coordination role
  • Strong organisational and time-management skills
  • Good attention to detail
  • Strong written and verbal communication skills
  • Good working knowledge of Microsoft Office
  • Confident use of Microsoft Excel
  • Confident use of Microsoft Word
  • Experience maintaining spreadsheets, trackers, and company records
  • Ability to manage multiple priorities
  • Ability to work independently while reporting to the Operations Manager
  • A proactive and reliable approach to work
  • Confidence dealing with suppliers, operatives, project teams, and other members of the business

Desirable Experience

The following would be advantageous but are not essential:

  • Previous experience working within a construction company
  • Basic knowledge of, or previous exposure to, ISO 9001, ISO 14001, and ISO 45001
  • Familiarity with Constructionline Gold
  • Experience with project administration, document control, or project documentation
  • Experience maintaining company LinkedIn or social media profiles
