About CLTR
The Centre for Long-Term Resilience (CLTR) is a UK-based, non-profit and independent think tank with a mission to transform global resilience to extreme AI and biological risks. We achieve this by working with governments and institutions, offering targeted, evidence-based advice designed to enhance understanding, decision-making and governance.
The Role
The Operations Associate is an entry-level role within our Operations Unit, reporting to the Operations Manager. This is a varied, hands-on position that sits at the heart of how we keep the organisation running smoothly day-to-day.
You will provide broad operational and administrative support across IT & systems, office management, compliance administration, events and organisational logistics. You'll be joining a small but growing team, which means genuine variety, real responsibility from day one, and plenty of opportunity to develop your operational skills across a wide range of functions.
This is an ideal role for someone who is highly organised, proactive, and eager to learn and who wants to build a foundation in business operations within a mission-driven environment.
What you'll do

Device Setup & IT Coordination
- Act as a first point of contact for day-to-day IT needs and support requests from staff, escalating to the Operations Manager or external managed service provider, as appropriate
- Coordinate IT onboarding and offboarding for staff - device setup, software access, and account management
- Maintain the asset register and administer software subscriptions, licence renewals, and vendor communications
- Support the Operations Manager in rolling out IT and cybersecurity policies, including staff guidance on acceptable use and flagging compliance issues

Office Administration
- Oversee day-to-day office operations, keeping it well-maintained, stocked, and a productive space for the team
- Manage relationships with facilities suppliers (cleaning, utilities, maintenance) and the building manager
- Handle procurement of office supplies and equipment, seeking value for money and keeping purchase records
- Support desk bookings, meeting room scheduling, and office access/visitor management

Events Coordination
- Provide logistical support for internal events, offsites, all-staff meetings and occasional external events — venue booking, catering, and travel
- Assist with scheduling and diary coordination across the operations team and wider leadership as needed

- General Operations Support
- Contribute to operational improvement projects - research, process documentation, and supporting new systems or tools, including integrating AI into operational processes
- Help new starters be setup for success: preparing induction materials and ensuring a smooth first day, alongside the IT onboarding above
- Support the Operations Manager with compliance administration - tracking policy review schedules, maintaining registers (e.g. data processing, risk), and preparing documents for audits or accreditations
- Any other tasks as reasonably requested by your line manager or Director of Operations
Person Specification
Essential
- Experience in an administrative, operations, or coordination role. This could include internships, part-time work, or relevant transferable experience
- Highly organised with strong attention to detail and a methodical approach to tasks
- A proactive, can-do attitude - comfortable taking initiative and following through on tasks without being closely supervised
- Good communication skills, both written and verbal, with the ability to work collaboratively across a small team
- Confident hands-on with technology - comfortable setting up hardware, troubleshooting everyday issues, and picking up new tools fast (Google Workspace/Microsoft 365, Asana, Claude, Gemini). No IT background needed, just comfortable opening up a laptop and working through a basic technical problem.
- Discretion and good judgement when handling sensitive information
- A genuine commitment to CLTR's mission and an understanding that getting the operations right is what enables high-impact work to land
- Eligible to work in the UK. Unfortunately we are unable to sponsor visas for this role
Desirable
- An interest in or prior exposure to IT/cybersecurity policy implementation
- Familiarity with data protection principles and UK GDPR basics
- Experience in a not-for-profit, research, or similarly mission-driven environment
- Experience supporting events or logistics coordination
- An interest in building a career in operations, with a willingness to take on new challenges as the organisation grows
Location and Travel Requirements
Flexible location within the UK, with the expectation of attending our central London office at least twice-to-three times a week, including Mondays.
