The Role
This is an office-based role providing hands-on coordination across day-to-day operations and partner recruitment processes, keeping information accurate, stakeholders supported, and business administration running smoothly. The role also acts as back-up Executive Assistant support when required.
Responsibilities
- Provide office management support – supplies, ordering, general office coordination, handling enquiries.
- Provide ad hoc Executive Assistant cover when required – scheduling, travel bookings, and administrative support.
- Support KYC administration and related process tasks.
- Issue and file confidential documentation via DocuSign; use Wordsmith to generate and send NDAs.
- Support invoicing and expenses in Dynamics 365 (including scheduling board support and timesheets).
- Maintain HubSpot hygiene (adding contacts, logging meetings and notes) as needed.
- Provide additional operational administration and procurement support as required.
- Coordinate partner recruitment activity, maintain candidate pipelines, and keep records up to date in Ashby (ATS).
- Schedule partner interviews and meetings, manage diaries, and support end-to-end partner recruitment coordination, preparing interview and meeting packs (background research, partner candidate summaries) and proactively chasing progress through stages.
- Support onboarding logistics for new partner starters (access, comms, and key recurring meetings).
- Review Payhawk expenses for completeness and accuracy (including tax treatment where required).
- Proactively identify process gaps across recruitment, onboarding, office operations, and core systems, helping to improve workflows, documentation, reporting, and stakeholder follow-up.

What You'll Bring
- Highly organised with strong attention to detail and comfort managing multiple priorities.
- Confident communicator with discretion when handling confidential information.
- Strong scheduling and stakeholder-management skills.
- Systems confident (ATS, Dynamics 365, Payhawk, DocuSign, HubSpot) and quick to learn new tools.
- Curious and looking to grow, adopting new technologies and ways of working.
- Willing to go beyond the immediate ask to ‘what's next’.
- Comfortable using AI tools, including Claude and ATS, to build business case testers and background prompts that help drive the interview process.

Work Environment
Office based, London (Mayfair). This role sits close to the day-to-day rhythm of the business and works closely with Talent, Operations, and Executive Assistant colleagues.
