About the Role
As an Operations Coordinator, you will support the end-to-end fulfilment of aftermarket spare parts orders, helping move customer requirements efficiently from order through picking, dispatch and collection. You will monitor order progress, coordinate with internal teams, communicate updates to customers and help ensure urgent requirements are prioritised effectively.

About the Team
You will join a close-knit and collaborative team within a busy, fast-paced operational environment. The Operations team works closely with colleagues across Stores, Purchasing and Sales, with regular communication and a shared focus on meeting customer requirements and departmental targets.

RESPONSIBILITIES
- Coordinate the progress of spare parts orders through picking, dispatch and customer collection.
- Monitor open orders and proactively follow up on priorities, shortages and delivery requirements.
- Keep customers informed of order status, progress and any changes to expected delivery timelines.
- Work closely with Purchasing, Stores and other internal stakeholders to obtain information and help resolve order-related issues.
- Support the creation and progression of work orders for sub-assemblies and kitted parts where required.
- Review component shortages and follow up on actions needed to support customer delivery requirements.
- Support shipping activities, including preparation of relevant shipping documentation and completion of required compliance steps.
- Maintain and update operational reports, including regular customer open-order information.
- Communicate delivery improvements or delays that may affect operational and monthly performance.
- Prioritise multiple customer requirements in a high-volume environment, responding effectively when urgent orders arise.
- Contribute to team and departmental targets while maintaining a strong focus on customer service, quality and safe working practices.
QUALIFICATIONS
Essential Qualifications
- Experience working with customers or providing customer service in a professional, retail, logistics, dispatch or similar environment.
- Strong organisational and time-management skills, with the ability to manage multiple priorities and changing requirements.
- Confidence communicating with customers and collaborating with different internal stakeholders.
- Good computer literacy, including Microsoft Excel, Word and Outlook.
- Comfortable working with data and existing reports in Microsoft Excel.
- Strong written and verbal communication skills.
- Proactive approach with the ability to follow up on actions and take ownership of day-to-day responsibilities.
- Ability to work effectively as part of a collaborative team in a busy, fast-paced environment.
- Willingness and ability to learn new processes, systems and operational requirements.

Preferred Qualifications
- Previous experience in a fast-paced transactional sales, spare parts, logistics, shipping or dispatch environment.
- Previous exposure to scheduling, planning, order fulfilment or expediting activities.
- Experience using ERP or similar business systems; knowledge of Omega ERP would be beneficial.
- Experience using Excel functions such as VLOOKUP and working with PivotTables.
- Experience working with system-generated operational or order reports.
