Job Summary

The Operations & Compliance Administrator plays a key role in supporting the smooth day-to-day running of the business, providing administrative, operational and compliance support across NSCG's Interim division and wider business. Acting as a central point of coordination, the role is responsible for office administration, contractor onboarding, compliance processes, systems management and stakeholder support, ensuring a high-quality experience for clients, candidates, contractors and colleagues.

The role requires strong organisational skills, attention to detail and the ability to manage multiple priorities whilst maintaining accurate records, ensuring compliance with legal and regulatory requirements, and supporting efficient business operations. Working collaboratively with consultants, contractors, suppliers and internal stakeholders, the role contributes to the effective delivery of client assignments and provides vital support across office management, contractor administration and compliance activities.

Responsibilities

General Office and Administration

  • Book meeting rooms, guest access and office spaces.
  • Answering the main phone line, responding to mailbox enquiries and updating the relevant office spreadsheets.
  • Support with office equipment and laptop administration, Amazon orders, access card requests and lunch orders.
  • Manage administration and shared mailbox activity for events, ops team and related inboxes.
  • Provide ad hoc administration support to consultants.
  • Arrange train, hotel and flight bookings.

Interim Team Support

  • Manage the formatting of CVs (through third-party supplier) and add updated files to Salesforce.
  • Update Salesforce records and support extensions on Salesforce and related spreadsheets and day-to-day portal administration on portals such as Matrix, Retinue and Prism.
  • Support starter timesheet requests, timesheet authorisation requests and timesheet chasing.
  • Prepare NDAs on SignNow and support contractor starter set-up.
  • Support Floata rota management.

Compliance Coordination

  • Support the compliance processes for all candidates through Matrix, Retinue and third-party processes.
  • Conduct DBS checks and right-to-work checks alongside visa requirements and other relevant checks.
  • Understanding GDPR requirements with regards to client and candidate information and ensuring records are kept in line with legislative requirements, ensuring confidentiality at all times.
  • Provide accurate, timely follow-up and keep records up to date on Salesforce.
  • Review and respond to queries from contractors and suppliers from both a finance and compliance viewpoint and assist with any queries from internal stakeholders.

Skills, Knowledge & Attributes

  • Highly organised and reliable.
  • Good attention to detail and accuracy.
  • Confident using Microsoft Office and willing to learn Salesforce, Matrix, Intime and other systems.
  • Helpful, responsive and professional communication style.
  • Able to manage routine tasks, follow processes and ask for guidance when needed.
  • Comfortable handling confidential information appropriately.
  • Able to use your initiative to work on your own but are comfortable working as a key part of a team too.
  • Able to prioritise work and skilled at managing multiple stakeholders.
  • Good listening skills.

Experience and Education

  • A recently completed university degree.
  • Experience of working within a customer service role.
  • You ideally have some experience of working in professional services.
  • A proven track record of delivering good customer service.
