Operations Coordinator

Location: Glasgow

Reports to: Commercial Manager

Contract: Full/part-time

Salary: Competitive

Start Date: Flexible

About the Role

This role sits at the operational heart of Alsta, keeping orders moving, customers informed and enquiries answered promptly and professionally. You will be the first point of contact for many of our customers and retail partners, so a calm, organised approach and genuine care for getting things right matter more than years of experience. This is a role for someone who wants to learn across the business, not stay in one lane. You should have a keen interest in the premium/luxury goods sector.

Key Responsibilities

Shipping & Logistics

  • Manage day-to-day shipping and logistics, including order dispatch, tracking and courier coordination
  • Keep order and stock records up to date across our systems
  • Assist with returns, exchanges and after-sales logistics

Customer Care

  • Act as first point of contact for customer enquiries via email and other channels, ensuring a prompt, friendly, on-brand response
  • Own resolution of routine customer queries end-to-end, escalating complex or sensitive cases appropriately. These can include repair and service requests
  • Monitor response times and flag recurring issues or feedback that could improve our processes or product

Sales & Partner Communications

  • Support sales enquiries from direct customers and retail partners
  • Manage day-to-day communications with existing retail partners - order queries, stock updates and general correspondence
  • Help keep partner-facing information (stock availability, lead times, pricing) accurate and up to date
