Operations Coordinator – Tradebe

Make an impact and join us as a proactive and highly organised Operations Coordinator, serving as the central point of coordination for all site-wide activities. You’ll drive communication, continuous improvement, and operational excellence across multiple departments in a fast-paced, varied role.
You’ll collaborate closely with site teams, central functions, and external partners to ensure that key projects, training plans, performance reporting, and business priorities are delivered on time.
Key Responsibilities
- Populate and update trackers and site meeting agendas, clearly communicating the Site Improvement Plan (SIP).
- Appointed Document Control Administrator – ensure effective implementation of site document control.
- Maintain up-to-daden shared management information systems and act as the primary point of contact for system queries and development.
- Appointed Competency & Training Administrator – manage and implement the site’s competency and training programs efficiently.
- Maintain and oversee non-production facilities, including fire alarms, security systems, meeting rooms, canteens, and offices, including selecting and liaising with relevant contractors.
- Coordinate availability of site meeting rooms, ‘hot’ offices/work desks, and associated resources for both internal and external colleagues.
- Ensure site visitors can book access, adhere to induction processes, and meet safety and security requirements upon arrival.
- Track and report on Key Performance Indicators (KPIs) – prepare internal and external reports in the approved company format to communicate operational performance.
- Manage the Change process electronically, including updating statuses at review meetings.
- Provide essential support to the Site Emergency Response team in critical situations.
- Perform other duties as required, ensuring flexibility and adaptability to meet operational demands.

Essential Requirements
- Strong communication, planning, and coordination skills, with the ability to multitask and adapt to changing priorities.
- Experience in informing, challenging, and supporting colleagues while fostering collaboration across mixed teams.
- Composed, practical, and analytical, with an agile, problem-solving mindset.
- Exceptional time management and organisational skills, with a mindful attention to detail.
- Creative thinker and innovator, committed to continuous improvement.
- IT literate, particularly with SAP, Microsoft applications, and other Management Information Systems.
- Enthusiastic approach to workloads and a passion for driving positive outcomes.
