Operations Coordinator

Salary: £35,000

Location: Central London - Office-based with 1 day WFH

Position Type: Permanent

About the Role

Our client is looking for an Operations Manager to join their growing team and play a key role at the centre of their advisor, marketing and business operations.

Supporting 40+ advisors, you’ll be the go-to person for operational processes, CRM and workflow systems, helping advisors run their businesses efficiently and independently. You’ll also act as the operational engine room for the Marketing team — coordinating requests, managing trackers and calendars, and keeping campaigns, PR and communications moving.

This is a varied role for someone who is highly organised, commercially aware, tech-savvy and confident using AI and LLMs to improve the way a business works. You’ll be a natural connector who enjoys solving problems, improving processes and bringing structure to a fast-growing environment.

Key Responsibilities

  • Support 40+ advisors with operational processes, systems, tools and day-to-day queries.
  • Act as the internal CRM and workflow expert, ensuring data and processes are accurate and consistent.
  • Identify opportunities to improve processes, automation and AI-enabled solutions.
  • Coordinate marketing requests, campaigns, calendars, trackers, PR activity and internal communications.
  • Liaise with internal teams, agencies, freelancers and suppliers to keep projects on track.
  • Support advisor onboarding, training and the development of clear operational guidance.
  • Assist with lettings operations, client administration and office/business operations as required.
  • Keep internal systems, shared resources and knowledge bases organised and up to date.

About You

  • 2+ years' experience in residential real estate operations, administration, team support or business support.
  • Strong experience with CRM and workflow systems, Microsoft 365 and platforms such as Monday.com.
  • Demonstrable experience using AI to improve efficiency and solve business problems, beyond basic ChatGPT use.
  • Highly organised, detail-oriented and able to manage multiple priorities.
  • Confident using judgement to solve, simplify, signpost or escalate issues.
  • Proactive, practical and comfortable working in a fast-paced environment with some ambiguity.
  • Warm, diplomatic and able to build strong relationships across different teams and stakeholders.
  • Discreet and trustworthy when handling sensitive information.
