STORIES Parfums is a luxury fragrance house based in Newtownards, with fragrances curated in Grasse. We create Eau de Parfum, a Hand & Body Collection and scented candles, sold online, through retail partners and at our own events.
We are looking for an Operations Coordinator to join our small team. This is a central role. You will look after our orders and stock, and the admin behind them, working closely with our Founder & CEO and our Business Development Manager.
Because the team is small, you will see how every part of the business works, from product and retail to events and customer care. For the right person, this role is an invitation into all of it. If you are keen to understand how an independent fragrance house runs, and to learn and grow with it, there is room here to take on more as we grow.
Duties
- Manage online orders from start to finish, including packing, despatch, returns and customer questions
- Process orders from our retail partners, with delivery notes and invoices
- Send out press and gifting parcels, and keep clear records
- Keep track of stock, carry out regular counts and reorder in good time
- Prepare packs for events and samples
- Support the Founder & CEO and Business Development Manager with admin, reports, emails and diaries
- Keep records, spreadsheets and files organised and up to date
- Look for better, simpler ways of doing things as we grow

About you
- Strong admin skills and very well organised
- Confident with Excel and Microsoft 365, including Outlook, Word and Teams
- Excellent communication, both spoken and written. You will deal with customers, partners and suppliers every day
- Careful and accurate. Our parcels are often gifts, so the detail matters
- Reliable, positive and happy to get involved in anything
- Keen to learn and to build a career in a growing business

Helpful, but not essential
- Experience with Shopify or a similar online store system
- Experience working with couriers
- A background in beauty, fragrance, retail or ecommerce
Your character and attitude matter to us as much as your experience.
Hours and location
Full-time is 35 hours a week, Monday to Friday. We are open to part-time hours for the right person, and will agree the days and pattern with you.
The role is based at our premises in Newtownards, Co. Down. It is not remote or hybrid.
