Job Title: Practice Operations Coordinator

Are you highly organised, naturally good at keeping information and processes in order, and someone who enjoys working with people across a business?

We’re working with an established architecture and interior design practice in Bristol who are looking for a Practice Operations Coordinator to join their team. This is a brand-new role, created to help streamline internal processes, improve efficiency and make sure the information people need is accurate, organised and easy to access.

Sitting within the Marketing & Communications team, you’ll work across different areas of the practice, supporting everything from bids and CRM through to compliance, portals and general office coordination. It’s a varied and sociable position that will see you working with colleagues at all levels of the business.

What you’ll be doing

A big part of the role will be managing the wealth of knowledge generated across the practice — information about projects, clients, capabilities and internal processes. You’ll help locate, verify, organise and maintain this information so that teams across the business can rely on it when they need it.

Your responsibilities will include:

  • Supporting the bid team with gathering, checking and maintaining project and practice information
  • Coordinating and maintaining information within the CRM system
  • Supporting compliance processes and associated administration
  • Providing administrative support around Health & Safety
  • Monitoring external portals and ensuring information and opportunities are kept up to date
  • Helping improve internal processes and identifying ways information can be managed more efficiently
  • Providing wider practice and office support when required
  • Coordinating meeting rooms, welcoming clients and visitors and answering incoming calls
  • Working closely with Marketing & Communications and colleagues across the wider practice

Who we’re looking for

You’ll be someone who genuinely enjoys organisation and gets satisfaction from making things work better. You’ll need to be comfortable working independently and taking ownership of your workload, while also enjoying being part of a collaborative team.

We’d love to speak to someone who is:

  • Highly organised, accurate and process-driven
  • Confident gathering and checking information from multiple sources
  • Comfortable speaking with people at all levels
  • Proactive and happy to take ownership rather than always waiting for direction
  • Confident working across systems, databases and digital platforms
  • Able to juggle different priorities without losing attention to detail
  • Friendly and approachable, with strong communication skills
  • Interested in architecture, interiors or the wider built environment

Previous experience within an architecture, design, property or professional services environment would be useful, particularly if you’ve worked across bids, marketing coordination, CRM, compliance or practice support, but we’re equally interested in people with transferable experience.

The practice

You’ll be joining a well-established, employee-owned architecture and interior design practice working nationally across a broad mix of sectors. The business has a strong focus on environmentally responsible design and creating positive social impact, with a collaborative culture and a genuine commitment to its people. You’ll sit within a friendly and enthusiastic Marketing & Communications team while having plenty of exposure to the wider practice.

The practice is based in Bristol and would ideally like this person to be 100% office-based. There is flexibility around which days are worked, although condensed hours aren’t available.
