Operations Coordinator

We're recruiting for an Operations Coordinator to join a growing construction and property services business based in Aylesbury.

Reporting to the Managing Director, you'll sit at the centre of the operation, keeping delivery tight across multiple service divisions.

This is a coordination role focused on scheduling labour and subcontractors, ensuring teams have the materials, plant and information they need before work starts, and tracking live jobs against time and budget.

This role has no direct reports and no P&L responsibility. Instead, you'll play a vital part in keeping operational delivery running smoothly so senior leaders can focus on leading and growing the business.

Key Responsibilities:

Scheduling & Resource Coordination

  • Plan and coordinate labour, subcontractors and vehicles across multiple live projects.
  • Keep utilisation high and avoid clashes between jobs and teams.
  • Flag resourcing gaps early to the relevant stakeholders.

Materials, Plant & Job Information

  • Ensure every team has the materials, plant, tools and information they need before work starts.
  • Order materials and book plant hire against the job programme, ensuring nothing is ordered late or duplicated.
  • Prepare clear job packs including scope, drawings, specifications, site access, client requirements and known constraints.
  • Confirm deliveries and plant hire arrive on site when required, chasing suppliers where necessary.
  • Track plant on and off hire to avoid unnecessary costs.
  • Keep supplier records, pricing and lead times accurate and up to date.

Delivery & Margin Tracking

  • Track live jobs against programme and budget.
  • Escalate delays or cost overruns early before they impact margins.
  • Maintain an accurate, live view of project status.

Reporting

  • Produce weekly operational reporting for the Managing Director, covering job status, resources and margin risks.
  • Surface issues early rather than reporting them after the event.

Systems & Process

  • Maintain day-to-day operational systems and ensure data remains accurate.
  • Help standardise processes across the business.
  • Keep subcontractor, vehicle, insurance and compliance records current.

Coordination

  • Work closely with customer service teams to ensure scheduling and communication run smoothly.
  • Coordinate subcontractor onboarding and monitor supplier performance.

About You

We're looking for someone with:

  • A strong operational coordination or scheduling background, ideally within construction, property services or field service.
  • Experience ordering materials and booking plant against live job programmes.
  • Excellent organisational skills and strong attention to detail.
  • The ability to remain calm under pressure whilst managing competing priorities.
  • Confidence using scheduling or job management software and spreadsheets.
  • The ability to coordinate multiple stakeholders and keep people to agreed timelines without formal authority.
  • Clear, confident communication skills.

Desirable

  • Experience working across multiple trades or service lines.
  • Existing supplier or plant hire relationships.
  • Exposure to job costing or margin tracking.
  • Experience within the premium residential sector.

What Success Looks Like

Within your first six months you will have:

  • Teams consistently arriving on site with the materials, plant and information they need.
  • Created a reliable live view of operational delivery.
  • Established weekly reporting that senior leadership rely on.
  • Improved resource utilisation and reduced scheduling clashes.
  • Maintained accurate subcontractor, supplier and compliance records.

Package

  • Salary circa £40,000–£45,000, depending on experience.
  • Discretionary bonus.
  • Standard company benefits.

Please Note

This role is full-time and office-based in Aylesbury, five days per week.

Because you'll be the central point of coordination for live operations, there is no hybrid or remote working option. This role only works when you're in the office, supporting teams, resolving issues quickly and keeping projects moving.
