What's the role?
We are seeking an organised, proactive and detail-focused Operations Coordinator to support BRUSH Power Solutions - Scotland Operations team across live projects, tenders, procurement, training, reporting, administration and general operational coordination.
This will include arranging training and travel, supporting procurement, keeping records up to date, maintaining trackers and making sure key information is available to the right people at the right time.
This is an important coordination role within the Scotland business, helping provide the day-to-day structure and support needed to keep project teams, site teams and operational activity properly aligned.
Working conditions - 40 contractual hours per week, Monday - Friday .
Key Responsibilities:
Operations & Project Coordination
- Collate and coordinate business information across Operations, Commercial, Procurement, Engineering, HSEQ and site teams.
- Coordinate travel, accommodation and site visit arrangements for operational and project teams.
- Maintain project and operational trackers, action logs, meeting notes and follow-up records.
- Maintain training records, competence trackers and site requirement information.
- Arrange training, inductions, medicals, travel and accommodation where required.
- Support onboarding of new starters, including equipment, access and required documentation.
- Assist with timesheets, mileage and personnel records where required.
- Support with day-to-day operational coordination, as necessary.

Procurement & Finance Support
- Raise purchase orders and requisitions in line with company policies.
- Maintain the procurement tracker to ensure accurate and up-to-date records.
- Support supplier onboarding and ensure required documentation is complete.
- Assist with invoice, purchase order and general commercial administration queries.
Office & Site Administration
- Manage and maintain the office email inbox and SharePoint sites.
- Order and track office supplies, including stationery, PPE, and IT accessories.
- Handle incoming and outgoing post in a timely manner.
- Maintain the employee asset register, ensuring all issued equipment is logged and tracked.
Employee Training & Travel Support
- Process staff timesheets, working hours, and mileage records for payroll purposes.
- Coordinate travel arrangements for staff.
- Maintain the company training matrix to ensure all employee training records are current.
- Organise and book any required employee training courses, ensuring compliance with regulatory and operational requirements.
Fleet & Vehicle Management
- Oversee the daily management of company vehicles.
- Ensure vehicle check sheets are completed and recorded accurately.
- Schedule regular servicing, MOTs, and inspections for all fleet vehicles.
- Coordinate with service providers for vehicle repairs and replacements when needed.
- Manage booking and return of temporary or replacement vehicles to avoid downtime.
Health, Safety & Compliance
- Support and participate in audits and accreditation activities.
- Carry out general HSE duties related to site operations, including fire alarm checks and basic safety inspections.
Front Office Duties
- Answer incoming telephone calls in a professional manner.
- Greet visitors and ensure they are directed or assisted appropriately.

- Minimum grade C in GCSE English and maths.
- Good written and verbal communication skills.
- Strong organisational skills.
- Ability to prioritise workload effectively and meet deadlines.
- Accuracy and attention to detail.

- Flexibility and willingness to take on different tasks as required.
