Operations Coordinator - Heads Up Kids® Job Description

Job Title: Operations Coordinator

Location: Home/Bushey/Borehamwood (Hybrid)

Terms: 10 hours per week, term time only (42 weeks per year)

Salary: £33-£35K FTE

About us:

Heads Up Kids is a charity supporting primary schools with social and emotional wellbeing through our wellbeing curriculum as well as training, support and development for teachers.

About the role:

This role will support Heads Up Kids with the general day-to-day administration, communication and organisation required to operate effectively as a charity.

Data Organisation:

  • Operating and maintaining our database (Donorfy)
  • Organisation of Shared Drive (Sharepoint)

School Liaison:

  • Managing training booking system (Calendly)
  • Follow up and information sharing. (Calendly, Donorfy)
  • Relationship building and engagement (Phone, email)

Financial Operations:

  • Raising invoices and reconciling expenditure (Xero)
  • Fundraising tracking grant applications, admin and reporting. (Excel, Donorfy)

Communications:

  • Maintaining and updating Heads Up Kids’ website (WordPress)
  • Publicising news, updates and events (Outlook, Zeffy)
  • Posting on social media (Canva, SM platforms)

Candidate Requirements:

  • Experience with Donorfy or other CRM systems
  • IT skills including use of platforms above (in brackets) and Microsoft 365
  • Ability to anticipate need and forward planning.
  • Excellent organisational skills.
  • Excellent communication and interpersonal skills.
  • Flexible approach and ability to take initiative.
  • Self-directed, able to work alone and as part of a small team.

Desirable Qualities:

  • Knowledge of primary school settings.
  • Interest in children’s mental health.
  • Knowledge of education, charity and mental health sectors.
  • Desire to learn and grow with the organisation.
  • Creative flair and attention to detail.
