Company Description
Daedalus Construction Services delivers high-end construction and refurbishment projects across London and surrounding areas, serving both commercial clients and private residential owners. The company specializes in super prime residential refurbishments, full property redevelopments, and commercial interiors across sectors including education, aviation, industrial, office fit-out, and retail. Projects are managed from pre-construction through to completion, with a strong focus on quality, schedule control, and clear communication. Daedalus is highly experienced in working within constrained or occupied environments, maintaining high standards while meeting demanding timelines. The team operates with precision, transparency, and a collaborative approach with clients, consultants, and design teams to ensure projects are delivered to specification without compromise.
The Role
This is a varied and fast-paced position that combines project administration, procurement support and executive assistance. The successful candidate will become the organizational hub of the business, helping to ensure projects run smoothly whilst providing administrative support to the Directors. Although the role is primarily home based, applicants located within South West London or the Cotswolds would be advantageous to allow occasional in-person meetings when required.
Key Responsibilities
Project & Operations Support
- Arrange and coordinate welfare units, skips, plant hire, temporary fencing and other site requirements.
- Liaise with suppliers to obtain quotations, place orders and monitor deliveries.
- Coordinate with subcontractors and the supply chain regarding programme updates, design changes and delivery schedules.
- Communicate professionally with clients, contract administrators, surveyors and consultants.
- Chase outstanding quotations, order acknowledgements and delivery dates.
- Assist in maintaining procurement schedules and project trackers.
- Support the preparation and organisation of project documentation.
- Help ensure projects remain organised and well administered from inception through to completion.

Commercial & Financial Support
- Maintain cost trackers across live projects.
- Assist with purchase order administration and expenditure monitoring.
- Help collate supplier invoices and reconcile costs against budgets.
- Produce simple reports for the Directors showing project expenditure and commitments.
- Maintain organised digital filing systems.
Executive Assistance
- Manage Directors' diaries and coordinate meetings.
- Arrange travel, accommodation and appointments.
- Assist with personal planning where required.
- Screen telephone calls and emails.
- Prepare meeting agendas and follow-up action lists.
- Support general business administration across the company.
About You
The ideal candidate will be:
- Exceptionally organised and highly proactive.
- Comfortable managing multiple priorities simultaneously.
- An excellent communicator with a confident and professional telephone manner.
- Able to work independently with minimal supervision.
- Calm under pressure and capable of solving problems.
- Highly trustworthy with excellent attention to detail.
- Comfortable speaking with clients, consultants, subcontractors and suppliers.

Essential Skills
- Excellent written and verbal English.
- Strong Microsoft Office skills, particularly Outlook and Excel.
- Excellent organisational and time management abilities.
- Confident telephone manner.
- Ability to prioritise competing workloads.
- High level of accuracy and attention to detail.
- Full UK driving licence preferred.
Desirable Experience
Experience within one or more of the following would be advantageous:
- Construction or property industry.
- Procurement or buying.
- Project administration.
- Quantity surveying or commercial administration.
- Facilities management.
- Executive or Personal Assistant roles.
Working Arrangements
- Primarily home based.
- Normal office hours with flexibility to respond to occasional urgent project requirements.
- Availability by telephone throughout the working day is essential.
- Occasional travel to sites or meetings may be required.
