About The Role
Knight Frank are looking for an organised and proactive Operations Executive to join our Investment Lettings & Management team.
This role will support the smooth running of the department, delivering an outstanding client experience while providing operational, administrative and compliance support across the business.
Key Responsibilities:
Customer Experience
- Deliver an exceptional experience for both clients and colleagues.
- Handle inbound and outbound enquiries, ensuring accurate information is captured.
- Support customer experience initiatives and process improvements.
- Help improve customer satisfaction and Net Promoter Scores (NPS).
- Promote and refer clients to relevant Knight Frank services where appropriate.
Lettings Operations & Administration
- Create and maintain property records, instructions and compliance documentation.
- Manage property onboarding, including ownership checks, EPCs, floorplans and marketing materials.
- Prepare reports, presentations and documentation for meetings and business activity.
- Coordinate diaries, travel arrangements and general team administration.
- Maintain accurate records, databases and shared filing systems.
Compliance & Best Practice
- Support KYC/CDD checks and ensure compliance with internal processes.
- Maintain accurate property records, notes and naming conventions.
- Prepare monthly compliance and operational reporting.
- Coordinate with operational teams to ensure assets are onboarded correctly and compliantly.
Finance Support
- Process contractor invoices and prepare billing information.
- Assist with accounts administration, debt management and financial reporting.
- Support invoice preparation and reconciliation activities.
Marketing & Business Development
- Produce property marketing materials, brochures and presentations.
- Support the preparation of client pitches and business development documents.
- Work with teams across the business to create engaging marketing content.

Client & Portfolio Support
- Act as a key contact for lettings operations enquiries from clients.
- Support tenancy lifecycle activities, including renewals, rent reviews and end-of-tenancy processes.
- Coordinate client reporting and portfolio administration.
- Monitor compliance and operational standards across managed portfolios.
- Support third-party agent instructions, onboarding and transaction management.
Team & People Support
- Assist with recruitment, onboarding and induction of new team members.
- Coordinate training, objectives and ongoing development activities.
- Provide coaching and guidance on operational processes and best practice.
- Help plan team resources and support engagement initiatives and social events.
Health, Safety & Information Security
- Promote compliance with GDPR, data protection and information security standards.
- Support office health and safety requirements and business continuity planning.
- Act as a Fire Marshal (training provided).
Operational Excellence
- Develop a strong understanding of Knight Frank systems, processes and procedures.
- Take ownership of projects, reporting and operational improvements.
- Contribute to continuous improvement initiatives across the department.
About You:
- 4+ years experience in an operations, property administration or business support role
- Strong Microsoft Office skills, particularly Excel, Word and PowerPoint.
- Excellent organisational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Able to manage multiple priorities and work effectively under pressure.
- Proactive, adaptable and solution-focused.
- A collaborative team player with a positive and professional approach.
