Operations & Facilities Manager
We’re looking for a practical, organised and proactive Operations & Facilities Manager to take ownership of the systems, suppliers, facilities and compliance activities that keep our business running smoothly. This is a varied, hands-on role for someone who enjoys solving problems, keeping on top of the details and making sure things get done properly and on time.
You’ll be the go-to person for everything from building maintenance and utilities to communications systems, vehicles, equipment, insurance and scheduled compliance.
What you’ll be responsible for
Facilities & Building
- Coordinate scheduled building maintenance, repairs and planned works with landlord
- Manage relationships and communications with utility providers and contractors
- Manage utilities and associated service contracts
- Maintain a schedule of servicing, inspections and preventative maintenance
- Coordinate PAT testing, thermal testing and other required electrical/building inspections
- Identify facilities issues early and arrange appropriate solutions
IT, Communications & Security
- You don’t necessarily need to be an IT engineer, but you should be comfortable managing suppliers and taking ownership of our day-to-day technology infrastructure, including:
- Management of business mobiles & contracts
- Internet connectivity, lease lines, VOIP telephone systems
- Site radios and point-to-point (PtP) communications
- Microsoft 365 administration and in-house user management
- Ubiquiti/UniFi (UID) systems and cameras
- Managing faults, upgrades, renewals and supplier relationships

Equipment & Assets
- Coordinate equipment purchasing for house and projects
- Maintain an accurate equipment and asset register
- Manage equipment allocation, maintenance and replacement
- Coordinate forklift truck (FLT) requirements, servicing and associated records
- Ensure business equipment is maintained, tested and fit for use
Vehicles
- Manage company vehicle leases and renewals
- Coordinate servicing, maintenance and associated administration
- Manage EV charging infrastructure and suppliers
- Maintain accurate vehicle records and schedules
Health, Safety & Compliance
- Working alongside our H&S lead, you’ll help ensure the business stays organised, compliant and ahead of its obligations. Responsibilities will include:
- Coordinating Health & Safety activities and documentation
- Maintaining company policies and the employee handbook
- Creating and managing a schedule for policy reviews and updates
- Managing subscriptions, memberships and accreditations
- Coordinating insurance renewals and maintaining an insurance schedule
- Maintaining schedules for PAT testing, thermal testing and other required inspections
- Keeping records, certificates and supporting documentation organised and accessible
A big part of the job is staying ahead.
We don’t want someone who simply responds when something goes wrong. A key part of this role is creating a clear operational calendar covering contracts, renewals, inspections, servicing, testing, accreditations, insurance, policies and other recurring requirements. You’ll know what’s coming up, who needs to do what and when it needs to happen.

About you
You need to be someone who:
- Is exceptionally organised and good at keeping track of multiple moving parts
- Takes ownership rather than waiting to be asked
- Is comfortable dealing with suppliers, contractors and landlords
- Can negotiate contracts and challenge suppliers when necessary
- Is confident with technology and able to learn new systems quickly
- Understands the importance of documentation, schedules and compliance
- Enjoys fixing problems and improving how things work
- Can balance planned work with the inevitable unexpected issue
- Communicates clearly with people across the business
- Is comfortable being both hands-on and administrative
Experience in facilities, operations, office management, IT coordination, compliance or a similar role would be particularly useful.

Our buildings work. Our systems work. Our equipment is accounted for. Contracts don’t quietly roll over. Inspections don’t get missed. Vehicles are maintained. Policies are current. Suppliers are managed. Problems are dealt with quickly. Most importantly, the operational side of the business feels organised, controlled and looked after.
