Operations & Lettings Manager

Affordable Workspace Partnership | London | Full-time | £40,000 pa + Bonus

About the role

We are a young rapidly growing creative Workspace Provider’ with a large pipeline of new buildings launching in 2027/28 across greater London. Our exciting and innovative business model is razor focused on quickly winning market share of a significant new sector.

We are seeking a person to take ownership of the key role of Operations and Lettings Manager to rapidly absorb additional responsibility to keep up with our growth.

In return for your early commitment, you will share in the company’s success through quick advancement.

You will be a quick learner, highly organised, hands-on with an attention to detail, and a people person.

You will effectively manage all our workspace buildings and the people who work in them. You'll be the main point of contact for our tenants, from the first enquiry through to move-in, and you'll keep our buildings safe, compliant, and running smoothly. You'll also help set up new buildings from scratch and help recruit new staff as we expand.

What you'll be doing

Lettings

  • Responding to enquiries, managing the waiting list, and arranging and attending viewings
  • Agreeing incentive packages, setting up leases, and managing the tenancy process from paperwork and compliance checks to key handovers and welcome packs
  • Following up after move-in, managing move-outs, studio checks, and deposit returns
  • Handling tenant queries and, when needed, disputes
  • Advertising available space on our website and reviewing how adverts perform

Property management

  • Managing building defects: liaising with tenants, arranging contractors, coordinating access, and checking repairs are completed
  • Appointing and overseeing contractors for compliance and maintenance, including fire alarm, ventilation, PAT and EICR testing, EPC certificates, fire door inspections, Legionella risk assessments, and window cleaning
  • Completing annual fire risk assessments

Operations and new building set-up

  • Taking new buildings from handover to opening: testing and commissioning, insurance, utilities, Wi-Fi, CCTV, waste and cleaning contracts, furniture and equipment, and tenant trackers
  • Handling VOA split assessments and business rates relief applications and Royal Mail address registration
  • Running tender processes for building works, appointing contractors, inspecting works, and signing off practical completion
  • Overseeing grant agreement drawdowns and appointing specialist consultants
  • Issuing tenant communications and updates

Administration

  • Reviewing and submitting invoices, chasing outstanding rent and keys, and keeping records and trackers accurate and accessible
  • Supporting meetings, agendas, and notes, and briefing external partners
  • Helping with recruitment, HR, and policy documents such as GDPR

About you

  • 2-3 years’ experience in lettings, property management, facilities, or operations, or a similar tenant-facing role.
  • Excellent communication skills and a calm, friendly approach with tenants, contractors, and colleagues.
  • Highly organised, with the ability to juggle priorities and keep on top of detail and compliance.
  • Comfortable using spreadsheets, trackers, and digital tools (e.g., DocuSign)
  • Practical and proactive, happy to visit sites and follow things through to completion
  • Knowledge of health and safety and building compliance requirements is a plus.
  • Most importantly, you are very ambitious with a keenness to get stuck in and help grow the company.
