Role Overview
We are looking for a strong Operations and Logistics Supervisor to take full ownership of the day-to-day running of our London operations. This is the person who makes sure the department runs smoothly on its own, without needing to escalate the routine. You will own daily order processing, fulfilment, and dispatch, courier management, supplier and purchase orders, and stock control, and you will lead and develop the operations team on the ground.
This is a hands-on leadership role, not a packing role. You will set the pace, hold the standards, and be the point of contact for the daily operation across B2B and B2C, multiple warehouses, and our fulfilment partners. It is a manager track position: the right person will grow into an Operations Manager as the business scales across the UK, Europe, and the UAE.
Key Responsibilities
- Ownership of daily operations
- Own the end-to-end daily order flow for B2B and B2C, from order receipt to confirmed delivery.
- Prioritise and schedule orders against cut-off times and delivery commitments, same day and next day.
- Be the daily point of contact for the operation, resolving the routine without escalation and only raising what genuinely needs senior input.
- Keep the department running to standard day in, day out, so senior management is freed to focus on strategy and growth.

Fulfilment, cold chain, and dispatch
- Ensure correct picking, packing, and dispatch, with strict cold chain handling for temperature-sensitive products (2 to 8 degrees) and the anti-tamper process.
- Maintain and enforce packing and dispatch SOPs, and run quality checks before dispatch.
- Book and manage courier collections with DHL and DPD, confirm cut-offs, and handle documentation for domestic and international shipments.
- Track shipments proactively and manage delivery incidents end to end: delays, damage, temperature excursions, lost parcels, claims, and replacements.

Purchasing and supplier orders
- Raise and manage requests for quotation and purchase orders with suppliers, and follow them through to receipt.
- Manage supplier relationships on the operational side, chase deliveries, and handle backorders and discrepancies.
- Coordinate inbound goods, receiving, and checking against orders and invoices.

Stock and inventory control
- Own stock accuracy across locations, including reordering rules, minimum and maximum levels, and low stock alerts.
- Manage internal transfers between warehouses and locations, and keep real-time visibility of stock and order status.
- Run stock counts and inventory adjustments, reconcile discrepancies, and reduce shrinkage and waste.

Team leadership
- Supervise, develop, and hold accountable the operations and fulfilment team on the ground.
- Assign tasks, enforce process discipline, and the shipping and communication protocols.
- Train new and existing staff on SOPs and systems, and drive a proactive, ownership culture.

Systems, reporting, and coordination
- Run the day-to-day operation in our Odoo ERP: orders, stock moves, transfers, purchase orders, combos, and kits.
- Produce weekly and monthly reporting on dispatch volumes, delivery performance, stock accuracy, and cold chain compliance.
- Work closely with sales, finance, and warehouse teams, and coordinate operationally with fulfilment partners.
- Identify improvements in efficiency, cost, and reliability, and put them into practice.

Experience and Skills
- 3 to 5 or more years in operations, logistics, warehouse, or supply chain, including supervising or leading a team.
- Proven ownership of a daily operation, able to run it independently and to a high standard.
- Hands-on experience with couriers such as DHL and DPD, booking, tracking, and incident resolution.
- Solid experience with order management, dispatch, purchasing, and inventory systems, ideally an ERP such as Odoo.
- Familiarity with cold chain packing standards and temperature-sensitive products.
- Strong organization, attention to detail, and calm problem-solving under time pressure.
- Clear communicator with couriers, suppliers, internal teams, and partners.
- Comfortable in a fast-growing, multi-site, and cross-border environment.
Preferred
- Experience in health, wellness, pharma, or supplement logistics, or another regulated environment.
- Experience with multi-warehouse and intercompany or cross-border stock movements.
- Understanding of customs and international shipping documentation.
- Ambition and capability to grow into an Operations Manager role.
