As Operations Manager at Kwalee

You will be responsible for supporting the Executive & Senior Leadership teams by coordinating and managing diaries, supporting the preparation and organisation of important legal and strategic materials and plans, and supporting board meetings and the preparation of board materials.

You will also have full ownership of company travel planning for domestic & international travel. Alongside this, you will work on employee engagement activities, oversee the management of our facilities, and work with other members of the team to maximise the commercial success of our games and company.

Responsibilities

Facilities & Operations

  • Own the day-to-day running of UK operations and facilities, ensuring the workplace is safe, functional, and well-maintained.
  • Manage UK facilities suppliers and contractors (maintenance, cleaning, security, etc.), negotiating contracts and holding them to agreed service levels.
  • Own UK health & safety compliance, including risk assessments, audits, and incident reporting.
  • Plan and deliver office improvements, or expansions as the business grows.
  • Manage the facilities budget, tracking spend and identifying cost efficiencies.

Travel

  • Own the travel budget, coordinating with the Travel Manager on larger trips such as trade shows and events.
  • Ensure travel is managed efficiently and in line with budget, guidelines, and process.

People & Team Leadership

  • Line-manage the Facilities team in UK and India (3 direct reports), setting priorities and ensuring consistent standards across both sites.
  • Develop and maintain operational policies and procedures, ensuring they're applied consistently.
  • Support business continuity and emergency preparedness planning.

Stakeholder Management

  • Act as the main point of contact across the business for operational and facilities matters, balancing competing priorities from multiple stakeholders.
  • Partner with People/HR and Finance on operational matters affecting the workplace.
  • Report to the CFO on operational performance, risks, and priorities.

Culture

  • Drive employee engagement initiatives in partnership with the wider team to maintain a great workplace culture.

Requirements

  • Exceptional organisational skills and strong attention to detail, with a track record of delivering high-quality work under pressure.
  • Strong communication and interpersonal skills, with the ability to interact confidently with stakeholders at all levels.
  • Comfortable dealing with Executive and Senior leadership members.
  • Keen to drive messages and instructions throughout the business.
  • A self-starter who will be able to follow up and take full ownership of tasks.
  • Experience dealing with suppliers and vendors.
  • Experience booking company travel plans such as trains, hotels, and flights.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Proven ability to manage multiple priorities and deadlines with a sense of urgency and determination.
  • Discretion and integrity when handling sensitive information, with a commitment to upholding the highest ethical standards.
  • A driven and hungry attitude, with a passion for exceeding expectations and driving success.
  • Previous experience in a similar role, preferably in a fast-paced environment.
