Reports To: Commercial Manager & CEO Location: London Contract: Full Time / Permanent

Overview

TJB Super Yachts is seeking a proactive and highly organised Operations Manager to manage the core operational processes, systems, and compliance requirements that support the business. Working closely with the Commercial Manager, CEO, and Finance Director, the role will ensure the team has the right systems, equipment, and processes in place while supporting efficient deal administration, financial planning, and the adoption of AI across the business.

Key Responsibilities

Operations & Team Onboarding

  • Manage onboarding and offboarding for new starters, including system logins, permissions, and access.
  • Manage company hardware, including laptops, mobile phones, and other business equipment, maintaining an accurate asset register.
  • Manage company registrations and memberships with relevant industry organizations, including applications, renewals, and associated documentation.
  • Maintain practical operating procedures and documentation for key internal processes.

  • Manage compliance across yacht charter and sales transactions, ensuring required documentation is complete and correctly recorded.
  • Coordinate KYC, AML, and internal compliance requirements with brokers and relevant third parties.
  • Maintain clear and consistent compliance processes across the business.

Systems & Salesforce

  • Maintain and administer Salesforce, including user access, data standards, reports, workflows, and routine updates.
  • Implement system improvements in response to business requirements and support users with day-to-day issues.
  • Manage core business software, licenses, and technology providers.
  • Ensure key company systems remain organized, reliable, and fit for purpose.
  • Segmenting and assigning clients.

AI & Process Improvement

  • Implement standardized AI tools, systems, and working practices across the business.
  • Identify opportunities to use AI and automation to improve efficiency and reduce manual administration.
  • Support team adoption and training, ensuring approved tools are used consistently.
  • Review existing processes and recommend practical operational improvements.

CEO & Executive Support

  • Provide day-to-day administrative and operational support to the CEO, helping manage priorities and ad hoc business requirements.
  • Coordinate business travel, including flights, accommodation, transfers, and itineraries.
  • Support diary management, meeting coordination, and scheduling where required.
  • Assist with preparation and organization for meetings, events, yacht shows, and business trips.
  • Manage administrative tasks, documentation, and follow-ups on behalf of the CEO.
  • Support wider executive projects and business priorities as required.

Budgeting & Reporting

  • Work with the Finance Director on company budgeting, forecasting, and monitoring of operational expenditure.
  • Track key operating costs, including technology, subscriptions, memberships, hardware, and external providers.
  • Produce operational, compliance, and systems reporting for senior management as required.
  • Support the Commercial Manager, CEO, and Finance Director with wider operational projects and business priorities.
