Operations Manager/Associate

Central London

5 days per week in the office with some international travel

The organisation

Cobalt is working with a growing family office seeking an Operations Manager/Associate to support its luxury residential property portfolio and wider business operations.

The organisation owns and operates a growing portfolio of approximately 12 high-end assets, with a particular focus on luxury residences for the long-term rental market. Its approach combines considered property management with a high standard of resident service, meaning the quality of the homes and the experience provided to those living within them are equally important.

With further portfolio growth planned, this is an opportunity for an Operations Manager/Associate to join at an exciting stage and develop their responsibilities as the business expands.

The position is predominantly focused on the London portfolio, although occasional travel to Greece will be required to support the organisation's international property operations.

The role and responsibilities

The Operations Manager/Associate will provide operational support across the business, with a particular focus on the management and upkeep of its high-end residential and commercial properties.

Working within a Super Prime environment means attention to detail and customer service will be central to the position. The Operations Manager/Associate will help ensure properties are maintained and presented to the expected standard while providing an efficient service to residents and stakeholders.

Responsibilities will include:

  • Supporting day-to-day facilities operations across the residential and commercial property portfolio, ensuring assets are maintained to a high standard.
  • Coordinating maintenance works, repairs, inspections and preventative maintenance schedules with contractors and service providers.
  • Responding to resident and tenant requests efficiently and professionally, maintaining a high standard of customer service.
  • Managing vendor relationships, procurement processes and service contract administration across the portfolio.
  • Attending site visits and property inspections when required, tracking follow-up actions and outstanding maintenance items.
  • Maintaining accurate records covering maintenance schedules, contractor details, rental schedules, invoices and payment tracking.
  • Supporting communication with property managers, estate agents, brokers, developers, contractors and suppliers.
  • Conducting research and sourcing exercises across suppliers, services and products, presenting findings in a structured format with clear options.
  • Building and maintaining trackers, operational manuals, supplier directories and contact lists, ensuring information remains current and organised.
  • Tracking projects across multiple workstreams, monitoring progress against deadlines and highlighting delays or outstanding actions.
  • Preparing and formatting documents, presentations and reports to a high standard for internal use and senior review.
  • Providing operational administration, reporting and document management to ensure business information remains organised and up to date.
  • Supporting the property management team in Greece when required, including occasional international travel.

As the portfolio continues to expand, there is scope for the Operations Manager/Associate to take on further responsibility and develop alongside the business.

The skills needed and requirements

The successful Operations Manager/Associate will need to be highly organised, service-focused and accustomed to the expectations that come with managing high-end property.

You will need:

  • Previous experience within a family office or Super Prime property environment.
  • Working knowledge of facilities and property management across residential and commercial assets, including repairs, maintenance, refurbishment and smart home systems.
  • Working knowledge of managing third-party contractors, including contracts, schedules of work, quotations, budgets and negotiations.
  • Excellent time management with the ability to manage several priorities simultaneously.
  • The confidence to work with minimal supervision and take responsibility for progressing tasks.
  • A customer-focused approach, with an understanding of the service levels expected within a luxury residential environment.
  • Strong organisational skills and close attention to detail when maintaining records, trackers, documentation and operational information.
  • The ability to communicate professionally with residents, suppliers, contractors, property professionals and other stakeholders.
  • A collaborative approach when working with colleagues and external partners to achieve successful outcomes.
  • A flexible approach to changing priorities across a growing property portfolio.
  • The ability and willingness to travel internationally to Greece when required.
